The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
1. Maintaining and monitoring the practice appointment system
2. Process personal, telephone and e-requests for appointments
3. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
4. Signpost patients to the correct service
5. Booking appointments for external agencies
6. Process incoming and outgoing email
7. Initiating contact with and responding to requests from patients, team members and external agencies
8. Process repeat prescriptions, ensuring they are processed accurately and efficiently
9. Read code data on practice system
10. Photocopy documentation as required
11. File and store records as required
12. Data entry of new and temporary registrations and relevant patient information as required
13. Input data into the patient’s healthcare records as necessary
14. Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
15. Process requests for information i.e. SAR, insurance/solicitors letters and DVLA forms to the administrative team
16. Accept payment for private medical work
17. Manage all queries (including administrative queries) as necessary in an efficient manner
18. Accept deliveries from couriers
19. Ensure the pathology samples are collected
20. Carry out system searches as requested
21. Maintain a clean, tidy, effective working area at all times
22. Monitor and maintain the reception area and notice boards
23. Support all clinical staff with general tasks as requested
In addition to the primary responsibilities, the medical receptionist administrator may be requested to:
1. Partake in audit as directed by the audit lead
2. Process all DNA letters in accordance with current policy
3. Action GP2GP tasks
4. Action death documentation
5. Produce meeting agendas and record the minutes of meetings
6. Support administrative and reception staff, providing cover during staff absences
7. Complete opening and closing procedures in accordance with the duty rota
8. Ordering and monitoring of stationery supplies
Job Types: Part-time, Permanent
Pay: £11.74 per hour
