Base pay range
Salary: up to £36k for the part-time role (£45k full time equivalent)
Starting: Holiday is 6 of your working weeks (this includes the bank holiday allowance)

Step by Step is a charity that passionately believes in supporting young people who are going through hard times. Our unique step by step approach, providing accommodation, personal development opportunities and specialist support services, identifies and fulfils aspirations.
Each year we work with over a thousand young people aged 11 – 25 and our team play a pivotal role in empowering young people and preventing homelessness.

What are we looking for?
We are looking for a proactive and skilled individual to join our team and oversee key operational functions. This is a new role and due to growth. The successful candidate will manage a small knowledgeable team and be the organisational expert on Health and Safety, so a solid background in Health and Safety is a must. You will be highly organised and a great line manager. You will work closely with our current external partners in Health and Safety and IT and ensure the overall smooth running of our business support operations.

Location: Aldershot (attendance at other sites will be required - Basingstoke, Havant, Totton)
Hybrid working is available as part of the organisational ethos, but for this role there will be a minimum of 3 days on-site, this will be discussed in the interview.
Role Type: Part Time – 30 hours spread across 4 or 5 days a week.

What would you be doing?
Key Responsibilities: not an exhaustive list of duties but they do reflect the range of duties
Health and Safety Management
* Work in partnership with our H&S contractors.
* Develop, implement, and monitor Health and Safety policies and procedures in collaboration with our Health & Safety partner.
* Conduct regular risk assessments and audits to ensure a safe working environment and compliance with Health and Safety regulations.
* Achieve high levels of compliance on audits.
* Work with the training team to ensure that the correct H&S training is being undertaken.
* Investigate accidents and incidents, ensuring timely and accurate reporting and corrective actions.
Maintenance and Facility Management
* Oversee the maintenance of company facilities and equipment, ensuring they are safe, functional, and in good working order.
* Coordinate routine maintenance schedules and manage relationships with external service providers.
* Ensure all maintenance records are properly kept and meet regulatory requirements.
* Work closely with onsite service teams to ensure the properties we operate from are maintained to a good standard.
Team Management
* Lead and manage a small knowledgeable team, providing guidance and support to ensure high performance and efficient operations.
* Conduct regular performance reviews, setting clear goals and development plans for team members.
* Foster a collaborative and positive work environment for the team.
Organisational Compliance
* Work with the Compliance Administrator to ensure the company complies with all relevant legal, regulatory, and industry standards.
* Support the Compliance Administrator who undertakes Ofsted compliance addressing any issues or non-compliance as needed.
* Keep up to date with changes in legislation and regulations, implementing necessary changes to policies and procedures.
IT Systems and Phone Management
* Oversee the management and upkeep of IT systems (including our phone system) in collaboration with our IT partner and IT & Admin Assistant.
* Ensure that IT infrastructure, systems, and networks are secure and efficient, meet the needs of the business and are as automated and streamlined as possible.
* Troubleshoot and resolve IT-related issues in partnership with external IT support as required.
* Manage software and hardware upgrades and ensure that regular system backups are performed with the contractor and IT & Admin Assistant.
* Demonstrate an understanding of SharePoint and drive forward the increased use across the organisation.
* Demonstrate an understanding of Cyber essentials and ensure our annual accreditation is maintained.
GDPR Compliance
* Support the Management Information and Impact Officer to ensure that all company operations comply with the General Data Protection Regulation (GDPR).
* Support the Management Information and Impact Officer so they can answer all GDPR-related queries and manage data protection processes across the business.
* Regularly review and update privacy policies and procedures to ensure ongoing compliance with GDPR.
* Conduct audits to verify that personal data is handled and stored following GDPR standards.
General Business Administration
* Support the IT and Admin Assistant to manage the general charity info email address and general phone enquiries.
* Ensure the Charity’s Policy and Procedure SharePoint log, and that of our subsidiary, are kept up to date and support the administrator to log and the document owner and give notice of all policies and procedures coming up for review.
* Ensure the Charity’s SharePoint Contract Log, and that of our subsidiary, and support the administrator to ensure they are kept up to date and supplier reviews are undertaken for all contract renewals in good time for renewal in conjunction with the department owner.
* Other ad-hoc Administration tasks – office supplies, annual insurance renewals, arranging away days, supporting the CEO with photocopying, scanning, posting documents etc.
