The day to day duties:
This is an interesting and challenging position, working in a supportive and busy environment.
The candidate must be flexible and hardworking with skills involving meticulous attention to detail. You will be an excellent communicator with strong administration and IT skills, be a quick learner and team player and easily adapt to situations and issues as they occur. Previous experience working within the healthcare sector would be an advantage but not essential.
The Secretary/Assistant will:
* Provide secretarial support.
* Have extensive experience working in an office environment.
* Work well in a team but also able to work autonomously.
* Have proficient knowledge with transcribing dictation and excellent typing skills.
* Be extremely organised and an excellent communicator.
* Provide excellent patient care.
* Manage their time and prioritise work tasks; have the ability to multi-task.
Duties include:
* Creating patient bookings for outpatient appointments and procedures, ensuring accurate entry of patient information. Confirmation of procedures in a timely manner including notification to all appropriate parties including the theatre, nursing staff and the patient.
* Dealing with all patient queries and where necessary liaising with the consultant should the query be of a clinical nature.
* Liaising with GPs and/or hospital departments to obtain test results, i.e. blood and scan results.
* Managing the consultant's diary and time including clinic and theatre schedules. Liaising with the appropriate outpatient/theatre departments as necessary.
* Sending all clinic and procedure lists to the relevant department/hospital in a timely manner to ensure they have an accurate record of patients due to attend.
* Audio and copy typing of clinic and procedure letters; sending letters to the patient, GP and other clinicians as required.
* Following up on any post outpatient or procedure actions, i.e. patient recalls.
Maintaining total confidentiality of personal and financial data.
Maintaining an organised filing system and patient notes.
Working Hours and Days:
This is a full-time job role of 37.5 hours a week.
The role is a hybrid of working from home and office-based - days worked in the office can be discussed. There is the opportunity for condensed working over 4 days if required.
