Job Title: Compliance Administrator (Compliance Support)
The client customer is a leading technological innovator and supplier of Aircare (fragrance delivery systems and consumables) & functional hygiene products in a number of industry sectors, renowned for delivering sanitary and scent solutions to over 130 countries.
Position Overview:
Provide Compliance support to the Product Development/Sales teams both UK and US, working closely with the Compliance Lead. Support the Compliance Manager in managing the regulatory aspects of all Vectair products, ensuring compliance with legislation and regulatory requirements in the UK, EU, US, and Rest of World (ROW). Assist in the business's sustainability aims by submitting and tracking documentation for applications such as carbon footprint and plastic tax.
The Compliance Administrator will:
1. Provide guidance on labelling compliance (GB/EU CLP, OSHA, GHS), including label proofreading.
2. Help ensure technical and marketing claims are accurate and compliant.
3. Maintain key documentation such as ISO, CoA, CoC, CE, and UKCA records from manufacturing partners.
4. Create and maintain SDS using Formpak software in line with applicable REACH, OSHA, and Canadian GHS requirements.
5. Track and manage SDS updates through Wrike project management software.
6. Use Helix and ECHA tools to monitor and research emerging regulations, and communicate with manufacturing suppliers.
7. Assist the R&D Department as necessary.
Day to Day Activities (Global Business):
1. SDS Creation: Create SDS for Vectair-branded and OEM/Private label (Customer Bespoke) products.
2. Set up raw materials and mixtures in Formpak.
3. Generate and assign UFI numbers.
4. Maintain the master poison centre list.
Product Labels:
1. Proofread product labels to ensure compliance with labelling regulations such as CLP, OSHA, GHS, certifying that they match their SDS.
Compliance / Regulations:
1. Assist in monitoring changes to legislation (REACH, RoHS, CE, FCC, UKCA, CLP, Prop 65, California Right to Know, etc.) and communicate findings with the Compliance Manager.
2. Upload data in Helix.
3. Liaise with suppliers for ISO certification, maintaining the certification database and ensuring timely updates.
Documentation and Customer Support:
1. Provide documents such as CoAs, CoCs, and draft declarations for Compliance Manager review.
2. Respond to internal queries and assist the Customer Support department with compliance-related documentation.
Experience/Qualifications Required:
1. Strong organisational skills.
2. Attention to detail and ability to proof check.
3. Experience with Microsoft Office.
4. Ability to learn database systems quickly.
5. Experience in regulatory affairs is advantageous.
6. Experience using SDS software such as Formpak or similar is advantageous.
7. Some experience with GHS, CLP, OSHA, and REACH is advantageous.
8. Some experience with the ECHA website is advantageous.
9. Ability to work as part of a team or independently.
10. Experience in using Adobe Acrobat Pro.
