An opportunity has arisen for 15 hours part time Support Sec/Co-ordinator within the Nursing Allied Health Administration Unit cross site working with Lead Sec/Co-ordinator for gastro IBD nurses.
A good range of secretarial/administrative skills, including knowledge of medical terminology, audio word-processing and patient centre booking experience is required. The ability to organise your day and work as part of a team are also desirable. Applicants should be confident, self-motivated and be able to demonstrate good communication and organisational skills, along with a flexible approach to duties. The applicant should be able to demonstrate an interest to learn new skills. They should also hold relevant secretarial/audioword-processing qualification and ideally have previous NHS/medical experience.
Main duties of the job
* To ensure compliance with a range of Trust policies, including health & safety, infection control, confidentiality, data protection, sickness absence and risk assessment.
* In conjunction with the administration teams ensure that all patients for the specialty are added to the relevant waiting list working within the specified timescales and guidelines.
* Provide administrative support e.g. audio typing, photocopying, filing, scanning, minute taking; disposal of sensitive material, whilst maintaining confidentiality.
* Book all triaged requests as required and bring requests to the attention of lead co-ordinators to ensure timely triaging.
* Manage efficient and effective filing systems for both paper and electronic documents; using the electronic server and intranet to share and collaborate electronic documents.
* Ensuring full utilisation of clinic slots.
* To maintain and update internal databases.
* Manage own workload, using own initiative, seeking advice where necessary from the line manager ensuring confidentiality is maintained at all times.
* To ensure that additional resources are booked as required by the individual patient e.g. interpretation services for all relevant appointments.
* Deal with non-clinical queries from patients, their carers, general practitioners and members of administrative and clerical teams.
