We’re seeking a motivated and highly-organised Assistant to join our team. This is a diverse role which involves providing support with organisation and general administrative and ad-hoc related tasks primarily centred around buying and bookkeeping. This role is integral to ensuring the smooth operation of our company and providing support to the directors in a fast-paced and dynamic environment.
Key Responsibilities:
1. Administrative Support:
o Manage the calendar, appointments, and meetings.
o Handle correspondence, emails, and phone calls on behalf of the directors.
o Organisation and analysis of receipts, invoices and expenditures.
o Prepare reports, presentations, and meeting agendas as required.
o Maintain organised digital records and filing systems.
2. Operational Coordination:
o Assist in overseeing day-to-day business operations including buying, logistics and sales.
o Liaise with suppliers, customers, and team members to address queries and resolve issues promptly.
o Monitor project timelines and ensure deadlines are met.
3. Communication and Collaboration:
o Facilitate communication across departments to ensure alignment on goals and tasks.
o Draft emails, make phone calls, and other communication materials as required.
4. Research and Analysis:
o Conduct market research to support strategic decision-making.
o Analyse business performance metrics and provide regular updates to the directors.
o Stay updated on industry trends and recommend opportunities for growth.
Requirements:
1. Experience:
o Proven experience as an assistant, administrative coordinator, or similar role.
o Experience in e-commerce, health food, or a related industry is a plus.
2. Skills:
o Exceptional organisational and time-management skills.
o Excellent attention to detail.
o Strong written and verbal communication skills.
o Proficiency in Microsoft Office Suite, Google Drive, and project management tools (e.g. Slack).
o Ability to multitask and adapt to shifting priorities.
3. Personal Qualities:
o Proactive, detail-oriented, and reliable.
o Positive attitude and ability to work collaboratively.
o Passionate about health, wellness, and sustainability.
