Sales Administration Manager
Location: Uffculme, EX15 3DA (fully office based)
Salary: A£28,000 - A£33,000 per annum (Dependant on experience)
Contract: Full Time, Permanent
Our client is a premium chocolate maker and craft distillery, known for their 'bean to bar' chocolate made from fine cacaos sourced directly from farmers, and natural ingredients. They sell over 100 products in approximately 30 countries, including top department stores, 5* hotels, cafes, and supermarkets.
The Role
This is a fast-paced, multi-tasking role responsible for managing orders through the sales order process from beginning to end, while also maintaining customer relationships. You will coordinate with customers, the factory, the stock room, and sales.
UK orders come in directly from the consumer website, email, and portals; overseas orders may require more planning and paperwork. You will manage multiple orders simultaneously, necessitating strong organizational skills and the ability to anticipate and solve problems related to stock availability and transport.
Key Responsibilities
Order Management:
1. Taking customer orders via EDI or direct and inputting them onto SAGE.
2. Coordinating with customers to agree on best before and delivery dates.
3. Working with the factory and stock room to ensure stock with the right shelf life meets orders.
4. Planning with the stock room for workload prioritization and necessary labelling.
5. Agreeing and booking in pick-ups and deliveries, communicating with transport companies for pricing.
6. Creating necessary export paperwork and obtaining documentation from local authorities.
7. Ensuring correct stock rotation and managing stock levels for the website.
Invoicing and Credit Control:
1. Invoicing all orders, ensuring relevant discounts are applied.
2. Maintaining customer files on SAGE.
3. Working with finance on credit control; chasing payments and ensuring overdue customers are not supplied.
Customer Management:
1. Providing customers with necessary information, including new products and price increase notifications.
2. Setting up new customers on systems and managing their onboarding.
3. Building relationships with customers and providing advice on orders and promotions.
Other:
1. As a small business, all employees are expected to multi-task, which may include organizing trade shows or contacting suppliers/customers.
Skills and Qualifications
1. Experience in a similar sales administration role, ideally within a manufacturing business.
2. Confident using SAGE 50 or similar sales order processing software.
3. A level + academic qualifications are preferred.
4. Highly organized in planning and prioritizing work; adept at coordinating with various stakeholders.
5. Intelligent, detail-oriented, and capable of problem-solving independently.
6. Proficient in Excel, Word, Outlook, etc.
7. Enthusiastic and positive, eager to learn and grow with the company.
