A Quality & EDMS (Electronic Document Management System) Subject Matter Expert (SME) typically combines in-depth knowledge of quality management practices with technical expertise in electronic document management. This role is crucial in construction where compliance, documentation, and quality control are paramount. Department: Quality Assurance / Quality Management Reports to: Head of Quality Location: North and East London Type: Full-time The Quality & EDMS SME will be responsible for overseeing and optimizing the use of the Electronic Document Management System (EDMS), particularly Fieldview in support of quality management processes. This role ensures that all quality documentation meets regulatory standards and that EDMS workflows are efficient, compliant, and aligned with company quality objectives. The SME will collaborate with cross-functional teams, support quality audits, and provide training on quality and EDMS practices. Key Responsibilities: EDMS Administration & Optimization: Serve as the primary point of contact for EDMS configuration, updates, and troubleshooting. Optimize EDMS workflows to enhance document control, version management, and approvals. Ensure the EDMS is aligned with industry standards and regulatory requirements (e.g., FDA, ISO). Conduct regular audits and reviews of EDMS processes to identify areas for improvement. Quality Documentation Management: Maintain and manage all quality-related documents within the EDMS, change control records, and training documents. Ensure documentation is accurate, up-to-date, and easily accessible to relevant stakeholders. Oversee document lifecycles, ensuring timely review, approval, and distribution. Implement and monitor version control practices to maintain document integrity. Quality Assurance Support: Collaborate with Quality Assurance teams to support audits and inspections by ensuring quick and organized access to quality documentation. Identify quality documentation gaps and work with teams to resolve discrepancies. Support CAPA (Corrective and Preventive Actions) and non-conformance documentation and ensure actions are adequately documented in the EDMS. Training & Compliance: Train employees on the EDMS and quality documentation best practices. Develop training materials, and guidelines related to EDMS usage and quality documentation. Ensure EDMS users understand regulatory requirements related to document management and compliance. Continuous Improvement Initiatives: Act as a change agent to drive continuous improvement in quality and EDMS processes. Conduct periodic assessments of the EDMS and propose enhancements to support operational efficiency. Stay updated on industry trends and regulatory changes that impact quality management and EDMS practices. Qualifications: Experience: 5 years of experience in Quality Assurance, Quality Management, or Senior Document Control management Technical Skills: Proficiency in EDMS platforms (Fieldview). Soft Skills: Excellent organizational and communication skills. Ability to work collaboratively and train cross-functional teams.
