Reports to: Shipping Manager / Logistics Manager
Job Summary:
The Shipping Coordinator is responsible for coordinating the movement of goods from one location to another, ensuring timely deliveries, and maintaining accurate shipping records. This role includes overseeing the preparation of shipments, handling documentation, and ensuring compliance with safety regulations and company policies.
Key Responsibilities:
1. Shipment Coordination:
Organize and schedule shipments for products to customers, vendors, and distributors.Communicate with carriers, freight forwarders, and transport companies to ensure timely pickups and deliveries.Monitor the progress of shipments and resolve any issues that may arise during transportation.
2. Documentation and Compliance:
Prepare and review shipping documentation such as bills of lading, invoices, and customs declarations.Ensure compliance with international shipping laws and regulations, including import/export documentation.Maintain accurate shipping records and inventories.
3. Inventory Management:
Track the movement of goods and materials in the warehouse.Coordinate with warehouse teams to ensure that inventory is available for shipping.Monitor stock levels and report any discrepancies or shortages.
4. Customer Communication:
Provide regular updates to customers regarding the status of their shipments.Address customer inquiries or complaints related to shipping and deliveries.Assist in resolving delivery issues or delays in a timely manner.
5. Shipping Optimization:
Optimize shipping routes, methods, and costs to ensure efficient transportation.Negotiate shipping rates with carriers and suppliers.Ensure packaging meets shipping requirements to minimize damage and prevent delays.
6. Coordination with Other Departments:
Work closely with sales, production, and procurement teams to ensure shipping schedules align with product availability and customer demands.Collaborate with the finance department to resolve any billing or payment issues related to shipping.
7. Tracking and Reporting:
Track all shipments, ensuring that they are delivered within the required time frame.Generate and maintain shipment status reports for management.
Required Qualifications:
8. Experience: Previous experience in a shipping or logistics role is required (2+ years preferred).
9. Knowledge: Understanding of shipping logistics, customs regulations, and supply chain management.
10. Skills: Strong organizational and time-management skills.Excellent communication skills (both verbal and written).Attention to detail and accuracy in documentation.Proficient in Microsoft Office Suite (Excel, Word, Outlook).Familiarity with logistics software and tracking systems (e.g., SAP, Oracle, or other TMS/WMS systems).
Desirable Skills:
11. Experience with international shipping and customs clearance.
12. Ability to work in a fast-paced environment and handle multiple priorities.
13. Strong problem-solving skills and the ability to resolve issues quickly.
