Job Title: Estates Team Leader

About this role:
Based within our Property Management Department of our Remus UK brand, this role will be responsible for supporting the Regional Manager with the day-to-day management of an allocated team. You will lead and mentor a small group of Property Managers.
Main Duties and Objectives:
1. Weekly team meetings, supporting and advising the team as a first port of call on all aspects of the portfolios.
2. Updating the teams and providing support to the SMT’s. Responsible for distributing pertinent information from SMT Meetings.
3. Managing a small portfolio of key clients, to be decided by the Regional Manager.
4. Providing a fortnightly spreadsheet update on team members and portfolios to the Regional Manager, including KPI’s and updates on any issues or problems requiring SMT intervention.
5. Make regular inspections of the properties in your team’s portfolio, usually quarterly but as necessary, to check the condition of the buildings and grounds, ascertain works of repair, monitor and supervise on-site staff and contractors.
6. Liaise with resident directors, lessees, residents, contractors and others as required, including dealing with telephone calls, faxes, emails and personal visits in a timely and courteous manner. Ensuring all appropriate people are kept fully informed.
7. Oversight of preparing quarterly reports and director reports to be forwarded to clients.
8. Provide information to the PM SMT on a daily, weekly or monthly basis as required.
9. Instruct appropriate contractors for works of repair and/or maintenance, working within Landlord & Tenant Act procedures and the company’s internal procedures. Supervise works as required, ensuring invoices are correct and approved as necessary.
10. Liaise with the insurance department to ensure insurance claims and associated works are dealt with in a timely manner, liaising with loss adjusters and others as appropriate.
11. To be responsible for and maintain the H&S management system for the team. At a minimum, to review the dashboard on a bi-weekly basis and record events.
12. Attending resident’s meetings, board meetings and AGMs (usually during evenings, on site). Preparing, agreeing and circulating minutes as appropriate.
13. Liaise with the company secretarial team regarding company secretarial matters such as directorship appointments, resignations, etc. for the team.
14. Liaise with the conveyancing team regarding flat sales, transfers and lettings, etc.
15. Ensure the team are complying with major works requirements such as cyclical maintenance within the portfolios and liaising with the major works team to ensure accurate records of progress.
16. Comply with the company’s IT and technology policies, including anti-virus procedures.
17. To maintain the highest possible level of positive relationship with the clients.
18. To ensure the highest levels of property management are being achieved.
19. Comply with the company’s Health & Safety Policy and ensure that on-site staff, contractors, lessees and residents are aware of our requirements.
20. To complete any other tasks as and when necessary and/or instructed by Senior Management.
21. At all times, working within clients’ instructions and the terms of the leases.
22. At all times, follow the RICS Management Code and all ARMA-Q regulations.
Must have Skills:
1. Relevant property block management experience – minimum 5 years
2. People Management experience – minimum 3 years
3. Drive and ambition
4. A Full UK Driving Licence and access to a car for business use
5. Good knowledge of service charge budget formulation
6. Good knowledge of service charge and Company accounts
7. Excellent communication and interpersonal skills, including written and verbal
8. An ability to deal with challenging people and handle conflicting opinions
9. Organised and methodical
10. An ability to multi-task and possess strong prioritisation skills
11. Can demonstrate high customer focus and time management skills
12. ATPI or MTPI qualified
