Purpose of role
The Legal Administrator’s principal role is to provide the fee earners with the administrative support they need to provide seamless legal services to their customers and help them to maximise the amount of time they can spend on fee earning tasks. They will predominantly support the EA team in delivering a high-quality service.
The support provided needs to be efficient and of a high standard. The individual is expected to work as part of a strong team, have a high attention to detail and can maintain a high level of confidentiality and professionalism.
The Legal Administrator will be responsible for completing defined legal administrative tasks while adhering to all client processes, protocols and policies.
Key responsibilities
1. Provide efficient and reliable administrative support, including document scanning, preparation of bundles, photocopying, printing, filing and other general administrative tasks
2. Liaise directly with fee earners to discuss support requirements, where necessary
3. Ensuring all new matter instructions are set up on the PMS and CMS promptly and accurately, using the quote function to ensure adherence to AML requirements
4. Monitoring and responding to emails in a professional and timely manner
5. Taking telephone calls on behalf of the team, independently resolving as many enquiries as possible and escalating where necessary
6. Telephoning clients or third parties to confirm bank details
7. Supporting EAs accordingly with new enquiry activities
8. Supporting to ensure all critical activities are progressed within required timelines
9. Quality checking of returned document production output ensuring accuracy and high quality
10. Liaising with EAs and finance regarding write offs for WIP/disbursements, credit notes, billing and invoicing activities in a timely manner
11. Assisting fee earners in the billing and credit control process
12. Assisting fee earners with finance tasks
13. Reviewing WHoogle twice daily for unclaimed monies and liaising with EAs
14. Supporting EAs with file closure activities as requested
15. Drafting standard and templated cover letters where required
16. Supporting with the collection of aged debt in line with lettering process
17. Processing the incoming post daily in a timely manner
18. Handling original documents such as wills and deeds
19. Delivering an exceptional electronic and hard copy file management service
20. Managing outgoing mail tasks
21. Preparing engrossed and certified copies of original documents
22. Preparing electronic bundles including the use of bookmarks and hyperlinks where required
23. Supporting the EAs and fee earners in completion of file reviews
24. Taking meeting notes where required
25. Using third party systems, portals or websites to undertake department specific tasks
26. Liaising with internal departments including finance and compliance
27. Prioritising the workload effectively by deadline, importance and time sensitivity
28. Actively participating in all relevant training
29. Demonstrating flexibility with working practices/processes
30. Supporting the wider business where required and necessary
31. Ensure that personal and team working areas are always kept tidy and professional
32. Attend both team and firm wide meetings and trainings where scheduled
