Our multi-discipline team have expertise ranging from concept viability, asset identification, acquisition, and technical due diligence through to architecture, engineering, construction management, design and construction services, along with ongoing asset, home management and disposal to private clients and investors. We are searching for an exceptional individual to oversee and manage the day-to-day running of Panacea Global Ltd.
The individual will need to oversee project budgeting, meet project deadlines, manage client expectations, provide in-depth monthly reports to clients, and hold weekly meetings with the two Managing Directors to provide updates and receive future directives. This individual should be excited by high-end projects, be able to work well under significant pressure, understand how to prioritize competing workflows, and find solutions to deliver on critical paths. The two Managing Directors each oversee their own separate companies. Therefore, a key aspect of this role is coordinating their schedules to ensure they can collaborate effectively on their shared company, Panacea.
General Duties
1. Project Management
* Managing external stakeholders, consultants, suppliers, and contractors.
* Preparation / Request / Review of legal documents, contracts, fee proposals, NDA’s, SOW's.
* Creating agendas, meeting preparation & attendance. Expedite & distribute feedback & minutes to internal and external teams to help provide direction on next steps.
* Monitoring progress of all consultants, suppliers, and contractors. Ensuring they are meeting deadlines & level of quality expected.
* Invoice management - working in conjunction with accounts payable. Ensuring all invoices are in line with fee proposals and quotes. Keeping track of expenditure and budgeting.
1. Administration & Diary Management
* Scheduling meetings between all parties (we use Outlook and Google calendars).
* Managing the email inboxes for Managing Directors and group inboxes.
* Managing company and Director expenses.
* Booking ad hoc company travel and event attendance.
* Provide management of the Panacea office (small team at present) including HR policies, insurance, health and safety, and liaising with IT support.
* Produce ad hoc job descriptions & liaise with recruiters/LinkedIn to help search and interview for suitable applicants.
* Disseminate employment contracts & liaise with finance to set up Payroll. Oversee new staff onboarding & manage initial general training (small team at present).
* Manage external contractors, IT support and (with support of Directors PA’s) building management and office supplies.
* Establish and maintain company contact database. Maintain accurate records, digital and physical filing, across all property projects and transactions.
* Maintain pleasant office environment, IT/CRM systems.
* Field incoming calls.
2. Marketing & PR
* Providing support and guidance on branding exercises.
* Engage with media & PR companies.
* Preparation of company documents such as detailed presentations & reports, proposals, site hoarding, business cards, invoices.
* Oversee development of Panacea website, and updates to directors’ profiles.
Experience & Skills
* 7 years’ experience in a Project Assistant / Project Management role or similar.
* Highly confident & capable in dealing with multiple stakeholders, at all levels.
* Very adept at time management, and able to meet strict deadlines where needed, even if out-of-hours.
* Excellent attention to detail.
* Strong written and oral communication skills.
* Excellent digital capability. Proficient in Excel, Word, PowerPoint, Sharepoint.
* Clean Driving License.
