Finance Office Admin Assistant Part Time, 14 hours per week (including Fridays) Main Purpose of the Job The Finance Office Admin Assistant plays a key role in ensuring the efficient operation of the Finance and Care Services office. This role involves providing essential administrative support, accurately processing and recording financial transactions, and maintaining effective communication with staff and clients. The ideal candidate will demonstrate exceptional organisational skills, attention to detail, and proficiency in office software. Main Tasks and Responsibilities Provide comprehensive support to the Finance and Care Services team by handling a variety of general finance and administrative tasks: Manage clerical tasks such as filing, scanning, and organising documents to ensure efficient and up to date record-keeping and accessibility. Assist with bookkeeping tasks using excel, including processing and paying invoices. Assist clients by providing information and support to ensure the effective management of their accounts. Process authorised invoices through the ledger system for payment on behalf of clients. Maintain Client’s ledgers accurately. Reconcile Clients Bank Statements accurately within prescribed timescales. Submit sales Invoices accurately within prescribed timescales. Ensure all purchase invoices are paid within prescribed timescales. Prioritise work load to strict deadlines. PERSON SPECIFICATION POST TITLE: Finance Office Admin Assistant Essential Skills and Attributes A qualification in office administration, finance, or a related field is an advantage. Experience in an administrative or financial support role. Proficiency in Excel and general Microsoft Office. Exceptional attention to detail to ensure accuracy in data entry. Strong organisational skills with the ability to manage multiple tasks efficiently. Able to work to strict deadlines. Able to use own initiative and to make consistent decisions within agreed guidelines. Ability to maintain confidentiality and professionalism. A professional attitude and strong interpersonal skills to ensure effective communication with team members and external contacts. Be willing to undertake any relevant training as required. Desirable Skills and Experience Experience with financial software or accounting tools though training will be provided. Knowledge or experience of working within the third sector. What We Offer Employment conditions The following terms and conditions are typically offered to GCVS staff on fixed term and permanent contracts, and are set out here for your information only. Annual leave entitlement: 28 days per annum. 13.5 fixed public holidays. Pro rata for Part time employees. Paid sickness absence entitlement during first year of service is 4 weeks at full pay and 4 weeks at half pay, based on contractual hours and calculated on a rolling basis. This entitlement increases with service. References will be sought from previous employers prior to appointment. Probationary period: 3 months with a review at 3 months. During the first 3 months the contract may be terminated with 1 weeks’ notice, thereafter it will be 4 weeks. Pension: Contributory pension through Pension Trust GCVS contributes 6% salary on condition the member of staff contributes at least 4%. This can be joined on completion of three months employment.
