Join our IT Asset Management team as an IT Asset Analyst and take ownership of managing IT assets throughout their lifecycle. From acquisition to retirement, you’ll ensure accuracy in our asset inventory, oversee maintenance contracts, track compliance risk and collaborate with key stakeholders to optimise IT asset management. Your work will contribute directly to financial planning and operational efficiency.

Summary
Purpose:
The IT Asset Analyst role is to provide efficient and timely administrative support to IT Asset Management Function. This will be a varied and busy role, where strong administrative and analytical experience, excellent communication skills and ability to work autonomously are essential. This role is responsible for the control of the AQA IT assets throughout their entire lifecycle; this entails planning, managing acquisition, monitoring and ensuring compliance, managing asset inventories, usage and disposal, reporting and looking at ways to maximise value and optimise the total cost of ownership. The individual will assist in procurement activities such as raising of PO requisition and receipting of Invoices.
Landscape: Working in the IT Asset Management team the IT Asset Analyst reports into the IT Asset Manager. The IT Asset Analyst will collaborate with different stakeholders across Enterprise Technology and other AQA departments to ensure all IT Asset management activities are conducted to an appropriate level of detail and are working to oversee quality control throughout their lifecycles.
Activities:
1. Manage inventory of assets in Snow and ServiceDesk Plus as they compare to other asset monitoring tools, ensuring accurate data entry and single source of truth.
2. Manage the lifecycle of all AQA IT Assets ensuring the acquisition, allocation, and retirement activities are carried out in line with best practice.
3. Liaise with key stakeholders regarding any requisition requests through to Purchase order cycle completion including dealing with any queries.
4. Assist in maintaining any asset related risks, and issues in the Enterprise Technology risk register.
5. Ensure documents are version controlled and maintained in accordance with IT Asset Management/ company standards on SharePoint and Teams channel.
6. Provides excellent customer service to our internal stakeholders via the provision of information relating to our Hardware and Software Assets.
7. Ensures a robust asset base is maintained ensuring accurate hardware and software asset management information.
8. Ensure asset support and maintenance contracts are successfully managed through the renewals process.
9. Any breaches, or risks of breaches, to licensing terms are identified, managed and escalated to the IT Asset Manager to ensure action to maintain compliance.
10. Manage service request tickets in ITSM tool.
11. Support in conducting and reporting of software asset reconciliation and audit activities on a timely basis, including financial, licensing, warranty, and maintenance/support contract information.
12. Support and provide appropriate data on purchasing for budgeting, monitoring and tracking spend against actual spend, including tracking cost savings.
13. Support in tracking and maintaining software licenses, warranties, maintenance agreements, and vendor contracts, according to processes and procedures currently in place across on-premise and cloud solutions.
14. Identify areas for improvements, recommend process improvements measures where appropriate and record on the service improvement tracker.
15. Provide KPI/Metric information and standardised reporting on a scheduled basis together with unscheduled reporting requests by the IT Asset Manager.
16. Administer asset records in various portal/systems e.g. Snow, ServiceDesk Plus etc.
17. Track EOL/EOS applications and advise relevant teams of updates and maintenance.
18. Track activities relating to the provision of IT assets to ensure compliance with any security, audit or licensing requirements.
19. Perform verification and audit to validate asset record and initiate corrective actions as required.

Members of Technical Operations (Desktop, Infrastructure, Service Management, Systems support) teams, Finance Teams (Finance/BSG business partners), Procurement support and services team, Budget holders, PMO team (for project related requirements), Security and Risk Team.
Key External relationships: 3rd Party suppliers of Hardware and Software.
Person Profile
Knowledge
Desirable knowledge of IT software and hardware as well as five or more years’ experience working in a similar position or equivalent experience and knowledge.
Desirable knowledge of working with a CMDB.
Knowledge of software licensing agreements.
Desirable ITSM tool experience.
Experience of using Snow.
Knowledge of IT Service management and how asset management interacts with the different functions.
Qualification
Ideally possess bachelor’s degree in information technology, computer science, or business administration, or in another related field.
Desirable experience in a similar role in a corporate environment.
Desirable ITAM Qualifications e.g. AITAM CSAM / CHAMP / CITAM, BCS SAM Practitioner or ITAM Org IT Asset Management qualifications.
ITIL v4 Foundation Certificate.
Skills
Ability to produce and maintain clear concise procedural documentation and reports.
Excellent written and verbal communication skills, able to engage with suppliers and colleagues and customers at all levels.
Ability to manage own tasks and time appropriately according to priority and importance.
Ability to review and synthesise complex information such as IT asset licences.
Advanced Excel (VLOOKUP).
Ability to solve problems as they arise through collaborating with colleagues or carrying out research.
