We are seeking to recruit a full-time Inpatient Booking Clerk to the busy in-patient section of the Access Team. There is also a further opportunity on a 12-month fixed term basis for a part-time (30 hour) Inpatient Booking Clerk.
The Inpatient Booking Clerk will manage and co-ordinate the inpatient pathway from the decision to admit to the day of admission. This includes maintaining a clear and robust inpatient waiting list, monitoring suspension/deferrals, and ensuring capacity to treat all patients on the waiting list, working closely with the Inpatient Team Leader and Administrative Service Manager.
Applicants must be educated to GCSE level or equivalent. Experience of working in a busy office environment and using computers is essential. Experience of using PAS and Bluespier is desirable, but training in the use of necessary computer systems will be provided.
Main Duties of the Job
The post holder will be involved in maintaining the delivery of the in-patient pathway of the Stage of Treatment and Referral to Treatment Target (RTT) in line with national targets.
This will be achieved through the booking of consultant's theatre lists, pre-operative assessments, and management of their waiting lists, with the recording of all necessary information on the Trust Patient Administration System (PAS) and Bluespier. The post holder will also be expected to carry out other clerical duties as deemed necessary.
Job Responsibilities
1. Manage the inpatient and day cases waiting lists for a delegated number of consultants in accordance with NHS Access Targets and the Trust's Access Policy.
2. Provide support and cover during periods of leave for colleagues assigned to Consultant Surgeons.
3. Add patients to the inpatient waiting list from outpatient appointments when a decision to admit is made, ensuring all information is entered onto the Lorenzo system.
4. Agree a date of admission according to the waiting times set out by relevant national directives.
5. Support with booking and co-ordination of mutual aid theatre activity by liaising with secretaries and booking teams to receive notes and process for booking.
6. Arrange transfers of care internally and externally in accordance with RTT and trust policies.
7. Agree a date for the patient to attend for formal pre-operative assessment and consent, ensuring the relevant period between appointment and admission date is met.
8. Ensure that Joint school is arranged for applicable patients and coupled with other appointments where appropriate.
9. Ensure appropriate patients are added to Remcare for pre-operative questionnaires and followed up accordingly.
10. Make amendments to clinic slots and occasionally set up additional clinics on Lorenzo.
11. Ensure all relevant documentation is present in the Health Care Records and all systems are updated.
12. Liaise with Team Leader/Supervisors regularly to receive updates on waiting times and discuss and make recommendations to improve waiting list management.
13. Ensure that patients receive all relevant documentation pertaining to their admissions.
14. Plan and liaise with Consultants regarding admissions for their operating sessions.
15. Re-arrange cancellations (with and without consultant consultation) where appropriate, ensuring full utilisation of theatre lists.
16. Provide information for clinicians regarding their waiting lists.
17. Provide a high level of customer care, exchanging information with patients and staff regarding admission processes and procedures.
18. Liaise with Head of Patient Access and Administrative Services Manager to ensure all lists are utilised and planned efficiently.
19. Deal with queries from patients, medical and nursing staff in a diplomatic and sympathetic manner.
20. Participate in new staff training within the Department.
21. Maintain PAS details and update patient details.
22. Liaise with pre-op department regarding changes, bookings, and cancellations.
23. Liaise with other Hospitals to ensure notes and x-rays are forwarded for patients to be admitted.
24. Provide support to the Patient Access Manager, Administrative Services Manager, and Team Leader.
25. Exercise initiative and independent judgement in situations arising regarding bookings.
26. Facilitate service improvement to streamline a patient's journey and ensure that the Trust delivers a quality service and gold standard of patient care.
27. Maintain Consultant computerised diaries and hard copy diaries.

Qualifications/Training
* Education to GCSE level or equivalent as a minimum (including Maths and English)
Experience
