We are looking for a self-directed, team oriented, innovative, hardworking individual to provide a full range of administrative support to the Kimberly-Clark Kroger Team in West Chester, OH; this includes supporting the Kroger Team Vice President. This role requires the ability to act independently, organize workload, set priorities, work well under deadline pressures, adapt to change, and handle confidential material. In addition, the incumbent must have the ability to exercise independent problem solving and decision making with a high degree of initiative and self-coordination.
In This Role, You Will
1. Provide a high level of executive administrative skills, normally acquired through an accredited college and/or prior work experience. This individual also handles confidential business matters, works independently on special assignments and maintains smooth operation of the office responsibilities of the executive.
2. Maintain a comprehensive understanding of department policies, procedures and department members’ methods of operation to effectively and efficiently conduct duties and responsibilities.
3. Manage the Executive(s) calendar, responding to requests for time and rescheduling when necessary. Make appointments, domestic and international travel arrangements, assemble packets of information and prepare materials including itineraries.
4. Prepare for department, staff and other meetings including creating agendas, preparing any meeting materials and/or presentations, scheduling the conference space required, connecting meetings to the required technology, facilitating refreshments and may include managing the budget for these meetings and/or conferences.
5. Draft and type non-routine letters, memos, documents and various reports requiring knowledge of methods, procedures, policies and organization for senior management’s signature.
6. Answer departmental phone; place, screen and refer calls to appropriate personnel; take messages. Respond to highly diversified inquiries from members of the Company management, employees and the general public.
7. Receive, sort, distribute, open and screen incoming email, mail and faxes. Categorize and prioritize response needed.
8. Maintain accurate records and files for easy retrieval when information is requested or needed.
9. Order department office supplies and equipment. Prepare and submit requisitions per Kimberly-Clark’s policy and procedures.
10. Manage reconciliation of a corporate credit cards for self and Executive(s), working with managers/supervisors and senior management to ensure the accuracy/timeliness of expense report submission.
11. Work with other Sr. Executive Assistants in sharing best practices and coordination of calendars.
12. Other duties as assigned.
Minimum Education Required
High School/GED
Qualifications
1. 5+ years administrative support in a corporate environment, supporting executives at the top executive level.
2. Must be able to use Outlook at an intermediate to expert level.
3. Experience arranging travel, meetings, catering, and general office organization.
4. Experience making international travel arrangements and awareness of the documents required for such travel.
5. Ability to multi-task in a fast-paced environment.
6. Advanced computer skills using Windows, Word, Excel, and PowerPoint.
7. Strong written and oral communication skills.
8. A demonstrated ability to act independently, organize workload, set priorities, work well under deadline.
9. Ability and willingness to work overtime on an occasional basis to meet workload demands.
10. Ability to exercise independent problem solving and decision making with a high degree of initiative and self-coordination.
11. Comfortable in a changing work environment.
Salary Range: $58,000 - $68,000 USD
