JOB TITLE: Executive Assistant to Professional & Operational Services

THE ROLE
We’re currently seeking an Executive Assistant who will provide efficient, dynamic and flexible administrative and organisational support to the Chief Financial Officer, Legal Director & Company Secretary and Operations Director. This role will also be required to deliver an exceptional guest experience to all visitors within Professional and Operational Services.
This role reports directly to the Senior Executive Assistant, however, in relation to day-to-day matters it will report to the Professional & Operational Services Directors.
The ideal candidate will have excellent organisational skills, flawless attention to detail and confidence working under pressure with the ability to meet tight deadlines. Given the nature of our business, we require executive assistants to be flexible and consistent whilst maintaining strict confidentiality.
KEY RESPONSIBILITIES
* Manage professional and personal scheduling primarily for the CFO, Legal Director & Company Secretary and Operations Director.
* Take a proactive approach to coordinating complex scheduling and calendar management to ensure that the Professional and Operations departments run efficiently.
* Maintain and refine internal processes that support your officers and directors and coordinate resources to ensure goals and objectives are met.
* At all times ensure effective communication amongst the EA team.
* As part of the EA team, ensure that you are flexible in providing cover as required, across all the assigned EA business areas.
* Provide support and co-ordination for a range of meetings; ensuring supporting materials are distributed on time, co-ordinate attendee invitations, organising room bookings and catering.
* Prepare presentations and reports as required.
* Attend meetings, take and efficiently distribute minutes as required.
* Arrange and book all travel, and accommodation and meals as required.
* Complete expense claims on Concur within business deadlines.
* At all times maintain professionalism and strict confidentiality with all information that you are aware of as part of your role.
* Proactively drive, create and maintain your own workflow to ensure that a best-in-class service is being provided to all stakeholders.
* Deliver an exceptional guest experience to all visitors within Professional & Operational Services.
* Any other reasonable task requested from the relevant stakeholders.
THE CANDIDATE
* Minimum of five years previous experience being an EA for Executive/Director level roles.
* Proven experience of working for numerous stakeholders.
* Excellent organisational skills including prioritization of tasks and time management.
* Strong administration skills, working proactively and efficiently to complete tasks.
* Flawless attention to detail.
* Confident and strong communication skills, both written and verbal.
* High levels of confidentiality, integrity and discretion regarding Club and personal information.
* Confident under pressure, with the ability to meet tight deadlines.
* Flexible team player, willing to adapt to changes and challenges.
* Ability to challenge positively as appropriate.
* Positive and proactive attitude, contributing to a collaborative and dynamic work environment, bringing high energy and enthusiasm to the role, inspiring those around them and fostering a positive workplace culture.
* Computer literate across all applications of Microsoft Office and Outlook.
