Gilbarco Veeder-Root's (GVR) Project Installation team is instrumental in collaborating with both existing and prospective customers to support forecourt rollout and expansion initiatives, along with new site projects. The team is responsible for specifying the scope of work required for each project, leveraging both internal and external resources to ensure successful project completion. As part of this collaborative effort, the Project and Invoicing Administrator works closely with the project team facilitating and managing key activities/tasks and ensuring effective communication and coordination. Responsible for confirming the availability of all installation products and parts, ensuring they are ready for distribution to the project site and invoicing clients, accordingly, thereby contributing to the seamless execution of each project. Key Responsibilities - Assist the project management team in the effective execution of their responsibilities by raising Purchase Orders (POs) to facilitate the procurement and timely delivery of products and materials necessary for installation projects. - Liaising and coordinating with suppliers to ensure all orders align with project timelines and specifications. - Provide feedback to the Project Managers (PMs) and communicate effectively with third party suppliers and customers involved in the projects, ensuring clarity and alignment on necessary actions. - To liaise with customers to ensure that commission activities are conducted in accordance with the established schedule and address and resolve any changes as they arise. - To raise invoices for product sales and installation work. - To update and manage customer portals to ensure accurate and timely information is available and customers able to process payments in a timely manner. - To compile and send warranty details to the contracts team to facilitate effective management of service agreements and customer satisfaction. - Regularly meet with the internal resource planning team to schedule commissioning for new sites, along with coordinating with customers to facilitate smooth commissioning process. - Demonstrable experience in providing administrative support within a customer service role, ensuring efficient operations and high-quality service delivery to customers. - Excellent communication skills - both verbal and written - Excellent organisational skills - able to prioritise and multitask effectively and work to tight deadlines - Able to work constructively in a team, focusing on solutions to improve service levels - Customer obsessed - Intermediate working knowledge of all MS Office Suite - particularly Excel and Word, coupled with an aptitude to work with and explore new systems and technology. - Ability to work under pressure as well as negotiate, influence and make decisions. - Highly motivated, confident, results-oriented, responsible, dependable, punctual, flexible, and efficient The world depends on Gilbarco Veeder-Root products to stay moving.
