Portsmouth Water is looking for a highly organised PMO Analyst to join our Smart Team on a 12-month fixed-term contract. In this role, you'll provide essential project management office support across a range of projects and programmes, helping to drive innovation and efficiency within the business. Your responsibilities will include coordinating meetings, capturing minutes, tracking actions, and supporting the smooth delivery of governance and reporting packs.
Working closely with project managers and cross-functional teams, you'll help maintain consistency in project documentation, monitor progress, and support risk and issue management. This is a great opportunity for someone with strong attention to detail, excellent organisational skills, and a proactive mindset to make a real impact within a fast-paced, collaborative environment.
What will you be doing?
Key Responsibilities
Timely collation and review of relevant documentation for review/approval at Steering Committee meetings
with programme/project manager
Manage the approvals process ensuring communication of outcomes is clear
Creating and managing requisitions and purchase orders
Ensure all project documents of record and all related correspondence and approvals are consistently filed
managed, and categorised in the Document management system (Teams/SharePoint)
Keep/file record of key governance meetings (Steering Committee meeting minutes /decisions /actions) and follow up with any approvals/decisions relevant to the PMO to ensure actions are complete
Scheduling and managing project governance cycle meetings, including diary management, attendee
tracking and providing secretariat services to the projects

Skills, Qualifications & Competencies
Strong communication skills, able to interact with a broad range of stakeholders
Strong Administration and organisational skills
Technologically literate with experience in use of BI, SharePoint, Teams, MS Office (Excel/Word)
Proficiency in extracting data from multiple sources/systems
Document and access control to Teams/SharePoint
Maintaining control documents area and ensure accuracy
Experience with planning and scheduling projects and programmes
Experience using Microsoft Teams and SharePoint for project administration
RAID management, ensuring project controls are maintained
