Our client is seeking a highly organised and efficient Conveyancing Legal Secretary to provide comprehensive administrative support to their busy Conveyancing department. The successful candidate will play a crucial role in ensuring the smooth and efficient progression of property transactions.
Key Responsibilities:
Document Preparation and Management:
Preparing and formatting legal documents, including contracts, transfers, and other conveyancing related correspondence.
Accurate and timely audio typing and copy typing.
Maintaining and organising physical and electronic files, ensuring compliance with data protection regulations.
Managing and organising case files, ensuring all documents are correctly filed and easily accessible.
Communication and Client Liaison:
Answering and directing telephone calls, taking accurate messages and relaying information promptly.
Communicating effectively with clients, solicitors, estate agents, and other relevant parties.
Providing updates to clients on the progress of their transactions.
Handling client enquiries with professionalism and efficiency.
Administrative Support:
Diary management and scheduling appointments.
Arranging meetings and preparing meeting agendas and minutes.
Managing incoming and outgoing post and emails.
Performing land registry searches and other online searches.
Preparing and submitting SDLT forms.
Dealing with AP1 applications.
Dealing with completions and post completion tasks.
Assisting with billing and invoicing.
General administrative duties as required.
Compliance:
Ensuring compliance with all relevant legal and regulatory requirements.
Adhering to company policies and procedures.
Person Specification for the Conveyancing Legal Secretary:
Essential:
Proven experience as a Legal Secretary, preferably within a Conveyancing department.
Excellent audio typing and copy typing skills with a high degree of accuracy.
Strong working knowledge of conveyancing procedures and terminology.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Excellent organisational and time management skills.
Strong attention to detail.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team.
Experience with Land Registry Portal.
Desirable:
Experience with case management systems.
Legal secretarial qualifications.
Skills and Attributes:

Hours are 9am -5pm Monday to Friday
