CBRE has an exciting opportunity for a Branch Facilities Coordinator. As a member of a successful team committed to achieving both client and company objectives, the successful candidate will provide proactive day-to-day operational administrative support across all customer UKI branch locations, primarily focused on their local site location.
The role will include:
1. Providing a framework for standardized service and compliance with a key focus on service delivery and customer satisfaction.
2. Being the sole CBRE representative on site, with support from the CBRE FM and wider CBRE account team, requiring a high degree of self-sufficiency.
3. Supporting the rollout and transition of integrated FM services solutions across the client's UKI portfolio.
4. Planning strategy for asset data collection for the UKI branch solution.
5. Using the client US model in applying MSA KPIs as guidance for WO management and reporting.
6. Establishing and implementing a Self Service Request portal and helpdesk facility for the UKI branch solution.
7. Refreshing processes for all client-related activity ownership including work order initiation, PO creation, supplier contracting, and management.
8. Coordinating and planning synergies with the CBRE Global Lease Administration Team to optimize client portfolio management.
9. Supporting QHSE/compliance audits and programs.
10. Communicating safety expectations to comply with client QHSE policies and procedures.
11. Establishing E-logbooks to ensure delivery of asset lifecycle management and critical asset identification.
12. Seeking continuous improvement opportunities and supporting sustainability initiatives.
13. Coordinating all reporting and analytics requirements governed by Global MSA.
14. Responding to client inquiries and complaints, ensuring timely and quality service delivery through the work order management system.
15. Following up with clients to ensure customer satisfaction and building excellent customer and service partner relationships.
16. Managing the work order process by generating and dispatching service request work orders to multiple subcontractors and vendors.
17. Promoting consistent SLAs across all sites for all FM services, including priority response times.
18. Running weekly reports on open work orders and checking status with the appropriate Technician or vendor.
19. Maintaining all files on work orders, proposals, and department files.
20. Issuing purchase orders, managing the flow of invoicing, and supporting budget optimization.
21. Coordinating inspections at the branch locations.
Qualifications needed:
* Appropriate vocational qualifications and comprehensive knowledge of all FM aspects with a minimum of two to four years of related experience and/or training. Experience with CMMS is preferred.
* Full driving license.
