The Role
The IT Administrator is responsible for supporting the IT team with vendor management, procurement, and administrative tasks to ensure smooth operations and compliance with governance processes. This role plays a critical part in tracking vendor performance, managing budgets, and maintaining accurate records of IT activities.
Responsibilities:
Vendor and Procurement Management
* Manage the IT vendor process, ensuring accurate and timely procurement of goods and services.
* Review and process supply quotes to align with budgets, raising purchase orders (POs) and updating governance documentation.
* Maintain accurate records of vendor contracts, purchase orders, and usage levels.
Operational Support
* Monitor and produce reports on KPIs, SLAs, and usage levels to ensure effective contract and budget management.
* Track key dates to ensure third-party management complies with procurement governance.
* Resolve discrepancies in orders, deliveries, and invoices by collaborating with vendors and internal stakeholders.
Administrative Assistance
* Provide general administrative support to the IT team, including scheduling meetings, managing correspondence, and organizing documents.
* Support the team by staying informed about market conditions and contributing to continuous improvement initiatives.
Compliance and Governance
* Ensure all activities adhere to company policies, procedures, and relevant regulatory requirements.
* Maintain diligence in managing records, ensuring alignment with governance frameworks.
Desirable knowledge & Experience:
* Proven experience in an administrative role, preferably within the financial services industry.
* Proficiency in MS Office applications, particularly Excel, Word, and PowerPoint.
* Strong organizational skills, with the ability to prioritize tasks and meet deadlines.
* Diligence and accuracy in data entry and record-keeping.
* Effective communication skills for professional interaction with stakeholders and vendors.
* Understanding of IT systems and outsourced relationships is advantageous.
