We have an opportunity for a Project Coordinator to join our well-established, fantastic team, performing a key role within one of our UK-based teams. This will be a temporary role for 6 to 9 months and will be based out of our studios in Southend-on-Sea, Essex.
The role will involve acting as a liaison between key stakeholders, project management team members and our artwork studio. Collating key information onto our servers and MIS. Managing artwork approvals through multiple client online approval systems.

Role Summary
1. Receive, interpret and collate all required elements needed for the artwork studio brief.
2. Liaise with Project Manager to enable you to create records onto the internal information system.
3. Estimate and collate costs for artwork, repro and retouching.
4. Monitor and chase artwork through with the client information system, in alignment with critical path and film to printer dates where applicable.
5. Perform the role of ‘gatekeeper’ within the client information system, which will require communication with defined stakeholders to resolve any issues with artwork comments.
6. On receipt of comments from the client information system brief back amends / approvals ensuring all amends have been checked, understood and conveyed clearly to the studio.
7. Provide feedback if required to assist the Studio Manager with assessing the quality of the information filtering through to the studio.
8. Flex and support other accounts workload when required.
Breakdown
1. Booking in and collating elements onto the client system where applicable.
2. Once artwork brief is received from the project management team, ensure work is distributed and booked onto the internal system in a timely fashion to given SLA’s.
3. Once an artwork is submitted to the client for approval, where applicable ensure you monitor and chase the artwork via email and telephone.
4. Once jobs become live within the studio ensure you are providing regular updates to the Amazon Project Manager on queries and on hold jobs and ensure these are being followed up and chased at regular intervals or through the relevant WIP calls.
5. Once the artwork is ready and on task list on the client approval system (Workfront), ensure you brief back amends / repro to the UK studio, ensuring all amends are checked, understood and conveyed clearly to the studio and queried if necessary. These must be sense checked before submitting.
6. Escalate any issues to the Head of Operations.
7. Provide reporting data when required.
