Holiday/Coach Tour Co-ordinators
Part Time – 3 days / 22.5 hours per week – £12.50 per hour – Permanent
2 positions, job share, 3 full days each – example schedule as below, but actual days could be different as long as 1 person in each day of the week and both in on a Friday – both positions MUST include Friday.
Example – Person A – Monday, Wednesday and Friday and Person B – Tuesday, Thursday and Friday
An exciting opportunity – but certainly not your average Administration job. Varied, busy and with lots of different smaller tasks making up the bigger overall position. The key is to be well organised, to be able to manage your time and enjoy being regularly required to jump from one task to another and then perhaps another!! If you have experience in this type of work, or maybe have a travel or transport background – or perhaps have experience in an administration position and in your spare time enjoy organising events for a club or society – this just might be the role for you.
GB Tours are based in Birkenhead, in Merseyside. Over 40 years in business and owned and operated by the same original owners, we provide coach holidays and short breaks and also offer River and Ocean cruises to customers all over England from 15 different pickup areas.
We are looking for two people to join our team here at GB Tours who are highly motivated, reliable and enthusiastic. Our ideal candidates would have the following attributes and skills:
* Good interpersonal and communication skills, and the ability to liaise with people across a wide range of levels and responsibilities.
* Must be computer literate with attention to detail and accuracy. Must have experience of Outlook, Excel spreadsheets, Microsoft Word etc.
* Ability to manage time, organise workload and balance priorities on an hourly basis.
* Reliable and flexible
Main Responsibilities will be shared across the 2 roles and will include:
* Producing Driver Information Packs to facilitate the successful operation of every coach tour – including researching itinerary information, generating system reports, writing itinerary instructions and posting out completed packs to coach operators.
* Updating hotels and attractions with passenger numbers both verbally and with system-generated reports on email.
* Confirming final passenger numbers with hotels and attractions.
* Allocating event tickets.
* Booking coach transport with coach operators.
* Booking ferries and attractions.
* Dealing with ad hoc queries and enquiries from hotel/coach/driver/attraction.
* Dealing with ad hoc queries and enquiries from internal team.
* Processing late passenger cancellations – notifying hotel/coach/attraction and generating cancellation paperwork for customer.
* Other Ad-hoc administrative duties.
Key Skills & Experience:
* Previous office experience.
* Excellent IT skills and experience of full Microsoft Office suite.
* Excellent organisational and time-management skills.
* Outstanding written and verbal communication skills.
* The ability to prioritise tasks independently and work under pressure.
* Ability to work well both alone and to interact with a busy team.
* A good eye for detail.
* Flexibility and adaptability to changing workloads.
