360 Search are recruiting on behalf of an established and forward-thinking Wealth Management Firm that are looking to hire an Executive Assistant to support the Senior Management team. This role offers an opportunity to work closely with top executives and contribute to the success of the Organization.
The Executive Assistant will be heavily involved in the day-to-day operations of the Management Team, closely supporting the Managing Director and Head of Sales. This position requires initiative, organisation, and exceptional communication.
This will be a busy and varied role. The successful candidate will be a confident and determined individual who can handle a wide range of administrative tasks to ensure the smooth operation of the Brokerage.
Key Responsibilities:
Executive Support
* Closely support the Managing Director and Head of Sales in their day-to-day duties.
* Provide high-level administrative support, including calendar management and meeting scheduling.
* Prepare and organise materials for meetings, presentations, and reports.
* Attend all internal meetings.
* Act as the primary point of contact between executives and internal/external stakeholders.
* Provide personal assistant support as needed.
Office Management
* Maintain office efficiency by managing office supplies, equipment, and vendor relationships.
* Handle incoming and outgoing communications, emails, and phone calls with professionalism and discretion.
* Oversee and coordinate office events, including client meetings and team-building activities.
* Find resolutions for the Management Team and other Employees across areas of Operations, IT & HR.
Documentation and Reporting:
* Responsible for the reporting to Senior Management in relation to; Closed Business, Work in Progress etc.
* Prepare and review documents, contracts, and reports for accuracy and completeness.
* Assist with data entry, record-keeping, and document management.
* Maintain confidentiality of sensitive information and financial data.
* Support the HR function in drafting contracts and onboarding new staff members.
Project Support:
* Collaborate with executives on special projects, research, and initiatives.
* Liaise closely with all areas of the business, including Operations, Finance & Marketing.
* Track project timelines and deliverables, ensuring deadlines are met.
The right person will have:
* A track record in an Operations / EA / Office Management role will be highly regarded.
* A minimum of 3 years' experience in the Life and Pensions industry, preferably within a brokerage.
* Proven ability to work off own initiative is essential.
* Strong planning and organisation skills with keen attention to detail.
* Excellent interpersonal skills to build quality relationships with colleagues' and other 3rd parties.
* The ability to work in a fast-paced environment and manage their workload accordingly.
* Strong IT skills, a good working knowledge of MS Excel & PowerPoint is essential.
* Discretion and ability to handle sensitive and confidential information with integrity
