This is the mission statement of the Royal Engagements Team, and we are looking for a new Royal Engagements Assistant to join the team.
The Private Secretary’s Office (PSO) supports The King in relation to constitutional, governmental, and political duties as Head of State. Our dedicated and talented team within the PSO organises domestic and overseas official visits, as well as audiences at Royal Residences and speeches.
As part of the Royal Engagements team, you will provide administrative support to the planning and coordination of individual engagements by The King and joint engagements by The King and Queen.
Principal Accountabilities:
* You will provide essential administrative support to Royal Engagements Officers, ensuring the smooth planning and execution of engagements by managing tasks such as proofreading, meeting coordination, and action point circulation.
* Collaborating with internal teams, you will help ensure all considerations for engagements are thoroughly planned and executed to the highest standards.
* You will assist in drafting engagement memos and briefing packs, providing detailed administrative support for overseas tours, and ensuring key planning documents are properly stored with the Records team for the Royal Archives.
* You will draft letters and oversee follow-up tasks post-engagement, ensuring all correspondence is handled with care and professionalism.
* On occasion, you will represent Royal Engagement Officers in meetings and provide crucial support when covering for team members during busy periods or major events.
In all you do, you will aim to bring people closer to The King and Royal Family and the important work they do.
Requirements:
* You will be a detail-oriented and proactive individual with previous administrative and planning experience in an environment where high standards are the norm.
* With a keen eye for detail and exceptional written communication skills, you will be able to produce varied documents and correspondence to a consistently accurate and polished level. IT-savvy, you will be proficient in MS Office and adapt quickly to new systems to ensure efficiency in your role.
* Your strong interpersonal skills and adaptable communication style will make you an effective team player, able to collaborate with colleagues and stakeholders at all levels.
* Highly organized and flexible, you will thrive in a busy environment, managing competing priorities and meeting deadlines with ease. Self-motivated and driven by a commitment to exceptional standards, you will consistently deliver top-quality results. An interest in current affairs would be desirable for this role, however not essential.
Whilst this role will predominantly be based at Buckingham Palace, some travel could be required. Flexibility in working hours, particularly during engagements and overseas tours will also be required.
