Working closely with the Estates & Facilities Officer and the Estate Operations Manager you will be responsible for day-to-day administration of the Estate and Facilities department and for the support of the Office Manager.
The Facilities Administrator will be based in the Estate office and will be the main administrative support for the Estates and Facilities department/ Providing a comprehensive range of administrative tasks and support services contributing to the effective running of the Estates and Facilities team at Nyetimber.
You will share in the responsibility for the online organisation and continuous digitalisation of the Facilities department. Ensuring all filing is kept up to date for compliancy and auditing purposes. You will help oversee Facilities software for efficiency.
RESPONSIBILITIES:
* Carrying out the day-to-day administrative duties for the Estates & Facilities Department.
* Daily checking of requests submitted through management software and allocating jobs if required.
* Provide support services for the Estates department and Office Manager
* Updating the events calendar, meeting with events manager and sending this to the facilities team when updated.
* Approving invoices when required.
* Support the EFO with the maintenance of the onsite residential properties.
* Assisting with booking in contractors for servicing, general maintenance and compliance certification as required.
* Biannually check through and update SOPRA’s for all departments.
* Assist with following up on completed works, chasing contractors to make sure all reports, service documents, job sheets and/or certificates have been received, inspected, and filed correctly on the server.
* Communicating with contractors and keeping up to date all relevant health and safety documents and filing correctly. This will also include the permit to work documentation.
* Support the EFO by helping to keep Maintainx (software) and the Estates & Facilities Management Folder on the server organised and up to date.
* Assist in supervising the cleaning contractors, highlighting when tasks have not been completed. Responsible for booking additional cleans for Hospitality events as and when required.
* Provide cover for the Nyetimber Office Manager when required. Answering telephone calls and passing on messages etc.
* Cover for the EFO when required, ensuring the software is monitored accordingly
* To Provide extra administrative support specifically around harvest, or preparations for open days
Reporting
* Provide EFO a list of all facilities team jobs according to the site every month.
General
* Provide a support service in respect of printing, photocopying, filing, data input, archiving, meeting minutes,
* binding, laminating and other general administrative duties.
* Support with ensuring that the main office and respective storage areas are kept tidy.
* Book meeting rooms as required and update Facilities calendar with details.
