Job summary
The Oncology and Haematology Directorate consists of Outpatients within the Colney Centre, Mulbarton Ward and Chemotherapy and Radiotherapy treatment areas. Paperless processes are in place for chemotherapy treatments and in development for radiotherapy with a dedicated software system including electronic paper records. The department has a year-on-year increase in new referrals and treatments and has recently expanded the radiotherapy and chemotherapy treatment areas.
Main duties of the job
As post holder, you will provide a high-quality Reception and support service within our busy Weybourne Day Unit and Reception team in Oncology and Haematology. The Colney Centre is open from 07:30 to 20:00 Monday to Friday and the Weybourne Day Unit runs from 08:00 - 18:00 Monday - Friday and 08:00-16:00 on Saturdays. The post holder would be required to work occasional weekends/Bank Holidays. You will need to be able to work flexibly to meet the needs of the service.
You will communicate with patients and their relatives, the general public and a wide range of multi-professional staff, internal and external to the Trust. Your responsibilities will include but not be limited to, being the first point of contact for people visiting the department or calling in with queries, booking outpatient appointments, admitting and discharging inpatients and managing waiting lists as well as other admin related tasks.

Job responsibilities

14. To provide a support service to the technical, secretarial, medical and nursing staff of the Department.
15. To carry out receptionist duties, including prioritising and arranging appointments and maintaining the various appointment systems, identifying test requests and investigations, and co-ordinating the various clinics within the department.
16. To deal with patients and external and internal staff enquiries in person or via the telephone, in a courteous and confidential manner and provide assistance as required.
17. To ensure patients safety and well-being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern.
18. To keep a log of telephone requests for investigations in line with department policy, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
19. To ensure appointment lists are maintained and prepared in readiness forTo obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
20. To maintain a record of the transfer of notes to and from the department.
21. To understand the 18 Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
22. To liaise with Secretaries and other departments within the Trust as necessary to ensure case notes, X-rays and referrals are available for every patient attending an outpatient clinic. Liaise with external stakeholders to obtain referrals if necessary.
