This position involves supporting key administrative processes, coordinating with vendors and contractors, and managing critical systems such as purchase orders, asset registers, and maintenance schedules. As part of the operations team, youll be the go-to person for handling day-to-day inquiries, streamlining workflows, and ensuring compliance with company standards. Key responsibilities: Purchase Orders: Create and manage purchase orders using Microsoft D365 to support timely procurement and accurate financial tracking. Maintenance Coordination : Monitor and manage planned maintenance schedules and facilitate day-to-day maintenance requests through the CAFM system. Asset Management : Update and maintain the asset register to ensure all records are accurate and compliant. Administrative Support: Provide assistance to the Services Manager by handling mailbox queries, managing parking allocations, and coordinating travel arrangements. V endor Coordination: Serve as a point of contact for vendors and contractors, addressing queries and ensuring effective communication and issue resolution. Monitor workflows : Track and update the status of ongoing tasks or projects. Data entry and record-keeping : Accurately input and manage data in company systems or databases. Monitor compliance : Ensure that operations align with organisational policies and standards. Promote efficiency : Identify and suggest improvements to existing workflows or processes. Purchase Order Management : Familiarity with creating and managing purchase orders, preferably using systems like Microsoft D365 or similar ERP tools. Maintenance Coordination : Experience working with maintenance schedules and systems, such as CAFM (Computer-Aided Facility Management). Asset Management : Demonstrated ability to maintain and update asset registers accurately.
