We are seeking an experienced Administrator to join us, to support the work of our Bury St Edmunds office. This is a fully office based role either full-time (37.5 hours per week) or part-time (minimum 22.5 hour per week). Our modern, purpose built Bury St Edmunds office is based in the picturesque rural location of Fornham All Saints. About the role You will be heavily involved in setting up and running administrative procedures to enable the office to run efficiently, and to support staff in the delivery of their service lines, enabling them to free up more of their time to focus on chargeable client work. You will be liaising with a wide variety of internal contacts on a daily basis, as well as clients and suppliers. Flexibility will be required, in order to cover evolving administrative requirements, as the role develops. Responsibilities will include (but are not limited to): General office administration: reception duties including dealing with post, call handling, scanning and serving refreshments for client meetings. Facilities management including health & safety, dealing with maintenance and cleaning contractors. Overseeing general office supplies and re-ordering items as necessary. Group administration: work planner amendments, deadline spreadsheets amendments and monitoring, open audit file deadline monitoring, monthly reconciling of the billing sheet and raising bills Client administration: system updates on client contacts database, preparing client create forms including electronic verification, preparing Engagement letters, completing ongoing Anti-Money Laundering review paperwork, bank letters, authority letters and solicitor letters, dealing with client satisfaction reviews, Companies House filings, and conducting Land Registry searches Ad hoc tasks : Binding of hard copies documents, preparation of tender documents in Powerpoint, organising group events, mailshots, and making accommodation/travel bookings on behalf of team members Essential Skills and experience: A strong background in administration with solid experience to support this (a professional services background would be preferred, but is not essential) Exceptional time management and organisational skills Capable of working independently and without close supervision Capable of multi-tasking, working on own initiative and being pro-active Ability to exercise complete discretion and confidentiality with regards to our work Proficient in Microsoft Word, Excel, Outlook and PowerPoint Awareness of UK GDPR and Data Protection Act 20218 and its application in the workplace Must have a full UK driving licence and access to own transport, given the office is in a rural location, and also to facilitate occasional visits to other Ensors locations The role offers a great opportunity to gain experience within a prestigious team that has gained significant recognition.
