This is a key role in supporting the operational delivery of our system operations centre. You will directly support the duty lead in a proactive approach to managing urgent and emergency care for patients across Suffolk & North East Essex. This role provides an excellent opportunity to gain experience in a wide area of health and care.
Candidates will need to be organised, able to solve problems, and work to tight deadlines whilst maintaining accuracy and attention to detail. Excellent communication skills and a friendly, approachable nature are essential for this role as you will have lots of contact with system providers.
The system operations centre coordinates the Integrated Care Systems response to system pressures including hospital bed pressures and queuing ambulances at busy emergency departments across the region in order to improve system working and performance. It provides a clear point of contact in hours as the centre for operational understanding and management of system pressures and actions.
As part of the operations directorate, you will work across 7 days (rota pattern with a maximum of 4 days in any 7-day period) covering 8am-6pm, to include weekend working enhancements to your pay (1:3 weekends).

Main duties of the job
1. Follow standard operating procedures for the Operations Hub to enable a universal way of working throughout the team.
2. Work collaboratively with the wider team to develop and update the Operations Hub standard operating procedures as required.
3. Ensure there is utilisation of a consistent format for key briefings and maintain effective and accessible information systems.
4. Provide accurate records of meetings and update logs. Manage actions from meetings that are assigned to the Operations Hub, briefing colleagues on required actions to be completed, securing updates to ensure actions are completed in a required timeframe and to accurate and appropriate professional standards.
5. Responsible for scheduling meetings including booking venues for events and sourcing materials required.
6. Work with the operational hub team to ensure all meetings are supported appropriately for the Operations Hub, Escalation Team, and EPRR.

Job responsibilities
This is a position that provides effective and efficient support to the System Coordination Centre both in and out of hours and is the key point of contact for colleagues on daily operational issues as the team supports all providers across the health and care system in a proactive and reactive way.
This position takes a key role in data collection and information from health and care providers to enable timely and accurate data visibility.

This role is uniquely placed to provide you with valuable system and operational insight across multiple organisations of health and care and has close links to our resilience (emergency) planning team.
Key tasks include receiving system updates and escalations, supporting the hub lead to take actions whilst monitoring operational metrics, sourcing data, and providing reports. Proactively highlighting issues and supporting resolutions.
To provide effective and efficient support to the operational hub both in and out of hours.
Support liaison with professional partners to ensure effective delivery of operational hub functions.
Support information and data collection from health and care providers to enable timely and accurate data visibility.
Person Specification
Qualifications
* Level 2 Maths and English
* Trained Loggist or to be trained as a Loggist
Experience
* Experience of successfully managing tasks and working with other people to ensure objectives and deadlines are met and quality maintained.
* Excellent time management skills with the ability to reprioritise.
* Problem-solving skills and the ability to respond to sudden unexpected demands.
* Skills for communicating complex information and administrative matters, requiring developed interpersonal and oral/written communication skills.
* Experienced at minuting system-wide meetings.
* Knowledge of the current Health and Care system.
