Role Overview A s a Lettings Coordinator at Ocasa Homes, you’ll be at the heart of our mission to drive resident occupancy levels and elevate customer experiences, achieving this through the provision of administrative and customer service support. You will manage the entire resident lifecycle, from the initial enquiry and tenancy progression to move-in, making each step smooth and customer-centric. Reporting to the Lettings Manager, your role is vital to our success, with every interaction helping to shape our residents' journey. In this role, you’ll be part of a dynamic team that’s continuously evolving, with opportunities to contribute to our innovative approach, such as the recent automation of key lettings processes. Each Coordinator is assigned ownership of a regional cluster of properties and with uncapped commission incentives available for meeting your monthly targets, your hard work and contributions to the team’s success are both reward ed and recognised. Key Responsibilities Effectively coordinate enquiries, schedule viewings, and progress leads from initial contact to application, all the while acting as an Ocasa expert and delivering the highest standard of customer service throughout your interactions. Organise and manage bookings for viewings, check-ins, check-outs, and mid-term inspections in collaboration with the Lettings and Communit ies Team s. Ensure smooth tenancy progression by handling paperwork, holding funds, referencing and other move in preparations. Maintain accurate records across our property systems (Yardi/ Hubspot ) and notifying relevant teams of updates. Prepar e, issu e and serv e Section 21 and other notices as and when (training will be provided). Agree renewals with residents in line with updated market values including preparing, issuing, and serving Section 13s. Monitor resident feedback following viewings, move-ins, and move-outs, to drive continuous service improvement. Escalate any resident lifecycle concerns to the Senior Lettings Coordinator. Build expertise in the resident lifecycle, local marks and industry trends to contribute to new ideas of improving our ways of working. Support the Lettings Manager with reporting, company-wide tasks and providing team cover where needed. Experience and Qualifications Previous lettings or property sector experience : Previous experience in the lettings or property industry is essential, with a strong understanding of the resident lifecycle and tenancy processes. Communication skills: Exceptional communication skills (written and verbal), with the ability to build rapport with others easily and form strong working relationships. Sales-driven attitude: A passion for sales or previous sales experience would be highly beneficial, as you'll be selling the prospect of living in one of our properties to potential tenants. Professional skills : Proactive, results and goal orientated with experience of working in a target - driven and fast - paced environment. IT and Technical proficiency : Confident IT skills with experience using multiple systems simultaneously. Proficient in Microsoft Office packages including Word, Excel and Outlook. Knowledge of Yardi and/or Hubspot is desirable. Organisational skills: Exceptional organisational skills, great attention to detail with the ability to multitask and meet deadlines. Teamwork and independence: A t eam player who is able to work alone and on their own initiative. Personal attributes: Positive and can-do attitude, ada ptable and with a keen interest in learning the property industry. A desire for professional development: ARLA qualification or similar is desirable, or willingness to work towards it.
