Our client has a full-time, permanent vacancy for an Administrator/Receptionist to join their friendly team.\n\nResponsibilities:\n\nWelcoming clients, visitors and staff attending the office\n\nFollowing visitor sign in procedures when visitors arrive for meetings\n\nMonitoring of the suite of meeting rooms to ensure they are kept tidy and in good working order for all meetings\n\nProvision of appropriate refreshments within the meeting rooms as and when requested\n\nSupporting the setup of meeting rooms and catering for client and/or staff events\n\nAssist with meeting room bookings\n\nAnswering and directing incoming calls across offices\n\nDirecting of enquiries to the relevant departments\n\nEnsure attendance registers are printed and updated accordingly\n\nResponsibility for incoming and outgoing post and arranging distribution of post internally.\n\nDealing with incoming deliveries\n\nManagement of the Franking machine and liaison with Royal Mail\n\nManaging the ordering of stationery\n\nSupport in the ordering of supplies\n\nBinding of relevant documents\n\nSupport with laminating activities\n\nSupport with file retrievals from off-site storage\n\nScanning, preparing and photocopying documents\n\nEnsure reception area is neat and tidy at all times\n\nGeneral administrative duties\n\nRequirements:\n\nPrevious experience in a similar role would be ideal but experience in a customer facing role would be beneficial\n\nEnjoy a high level of interaction with clients, staff and visitors displaying a welcoming and professional approach at all times\n\nFriendly and professional manner\n\nExcellent verbal and written communication skills\n\nExcellent telephone manner\n\nConfidentiality, discretion and diplomacy with the ability to deal tactfully and diplomatically with a wide range of people\n\nExcellent time management skills demonstrating the ability to organise and manage changing priorities on an ongoing basis\n\nAbility to demonstrate a courteous, helpful and service-orientated manner both in person and on the phone\n\nAbility to work both autonomously and within a team with a positive ‘can-do’ attitude and strong interpersonal skills\n\nEfficiency, reliability and flexibility\n\nAbility to use initiative when required\n\nProven IT skills, including MS Word, Outlook and Excel\n\nA valid driving licence would be advantageous\n\nDue to the large number of responses we receive it is not always possible to respond to every application straight away.
