Job Overview
We have a new and exciting opportunity to join the Maternity Outpatients and Scan Department as a Maternity Outpatients Administrator.
Duties will include:
* Acting as the first point of contact for the Maternity Outpatients and Scan Department.
* Providing efficient comprehensive administration and clerical support to the Maternity Outpatient and Scan department across a range of functions.
* Liaising with patients, relatives, clinicians, and medical secretaries in all departments to ensure a high level of service is provided to all users.
* Booking and outcome appointments while maintaining clinic lists electronically using appropriate Trust systems.
* Responding to telephone calls from anxious and distressed patients, taking messages and resolving problems when possible, in a professional and competent manner, overcoming any cultural or language barriers.
* Communicating appropriately with a range of people at different levels in the organisation.
* Being flexible, self-motivated, and working with minimum supervision.
Main Duties of the Job
* Responding to all routine/complex enquiries face to face and by telephone from patients, clinical/non-clinical staff, and external agencies which require the use of own initiative, critical thinking, and problem-solving skills.
* Liaising closely with clinical teams to ensure mutual understanding of clinic rules and capacity issues that could compromise the booking of patients within clinical timescales, notifying clinicians of any clashes or possible overbooking of clinics.
* Recording all alerts on the patients' electronic record upon receipt of referrals, planning appropriate appointments and scans in line with national maternity guidelines while ensuring breaches are kept to a minimum and escalating as necessary.
* Making relevant clinic/appointment changes during patients' pathways, including booking transport and interpreter services.
* Working using own initiative and unsupervised, with team leaders available should advice be required.
* Recording, processing, and actioning all appointments, clinic cancellations, and amendment requests from Patients, Consultants, and Medical Secretaries following Outpatient procedures.
