Job Overview
The Sales Administrator plays a crucial role in supporting the sales team and ensuring smooth day-to-day operations within the sales department. This position is responsible for coordinating sales activities, processing orders, managing customer relationships, and ensuring that the sales process runs efficiently. The Sales Administrator will also maintain accurate records, assist with reporting, and help with various administrative tasks related to the sales process.
Key Responsibilities
1. Sales Order Processing:
o Process incoming sales orders and ensure that they are entered accurately into the system.
o Verify pricing, product availability, and shipping details for customer orders.
o Coordinate with the logistics and production teams to ensure timely order fulfillment.
2. Customer Relationship Management:
o Maintain strong relationships with clients by providing timely information and support.
o Assist with customer inquiries, order status updates, and product information.
o Address and resolve customer complaints or issues in a professional manner.
3. Sales Reporting:
o Prepare and maintain sales reports, tracking key metrics and performance indicators.
o Assist with sales forecasting, providing data and analysis to help the sales team meet targets.
o Update CRM systems with customer information and sales activities.
4. Administrative Support:
o Manage and update customer databases, ensuring that all records are accurate and up-to-date.
o Organize and maintain sales documentation, contracts, and other relevant paperwork.
o Support the sales team with administrative tasks such as scheduling meetings, preparing presentations, and drafting correspondence.
5. Sales Team Coordination:
o Work closely with the sales team to ensure alignment on customer needs, order status, and special requirements.
o Assist in coordinating sales campaigns, promotions, and product launches.
o Prepare and distribute sales collateral and marketing materials to clients and prospects.
6. Inventory Management:
o Work with the warehouse or inventory team to track product availability and stock levels.
o Ensure orders are processed according to inventory status and customer demands.
7. Invoicing and Payment Follow-up:
o Assist with preparing and sending invoices to customers.
o Follow up on outstanding payments and ensure that customer accounts are kept current.
8. Other Duties:
o Assist with any additional sales-related tasks as needed.
o Participate in regular team meetings to discuss sales strategies and departmental goals.
Qualifications & Skills:
* Education: A high school diploma or equivalent.
* Experience: Previous experience in a sales administration, customer service, or related role is preferred.
* Technical Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint), CRM software, and other office management tools.
* Communication: Strong written and verbal communication skills for interacting with customers, suppliers, and colleagues.
* Organisational Skills: Ability to multitask, manage time effectively, and prioritize tasks to meet deadlines.
* Attention to Detail: Accuracy in data entry, order processing, and customer communications.
* Teamwork: Ability to work collaboratively within a team and liaise with various departments.
