JOB SPECIFIC RESPONSIBILITIES
Planning of Transport: Coordinate transport for future dates.
Resource Management: Control ambulance service resources, including volunteer car service drivers, and adjust schedules as needed.
Liaison Duties: Facilitate communication between hospital staff, communication centers, transport offices, and ambulance crews.
Data Entry: Enter transport requests into the computer system.
Patient Coordination: Ensure patients are returned home promptly and manage associated resources.
Support Drivers: Assist Ambulance Car Service drivers with queries and liaise with the Operations Resource Coordinator.
Schedule Printing: Print and distribute daily schedules for ambulance and car drivers.
Record Keeping: Maintain records of patient arrival and departure times.
Customer Service: Address enquiries and complaints from hospitals and patients regarding ambulance transportation.
Service Monitoring: Assist in the monitoring and analysis of the service level agreement and provide feedback to the Customer Service Manager.
Service Level Agreements: Maintain a working knowledge of service level agreements.
Front of House: Undertake patient liaison duties when required.
Quality and Complaints: Assist the Non-Emergency Services Quality and Complaints Manager as needed.
ISO Standards: Ensure all documentation complies with ISO 9001 / 2000 standards and assist with internal audits.
Staff Training: Train new staff members.
Leave and Absence Management: Manage leave requests and absence for Patient Liaison Assistants.
ADDITIONAL INFORMATION
Confidentiality: The role involves handling confidential patient information and is subject to a criminal records bureau check.
Flexibility: The postholder may be required to work at any of the Trust's sites as per service needs.
Infection Control: Adherence to infection prevention and control policies is mandatory.
Data Protection: Compliance with confidentiality, data protection, freedom of information, and computer misuse policies is required.
Communication: Effective communication with service users and staff is essential.
Health and Safety: Adherence to health and safety legislation and Trust policies is required.
Major Incident Response: Participation in preparation and response to major incidents or service disruptions is expected.

PERSON SPECIFICATION
Essential:
Smart appearance and good attendance record.
Basic education to GCSE standard in Maths and English.
Keyboard skills.
Experience as a Patient Transport Assistant or in a public-facing role.
Flexible, approachable, calm under stress, enthusiastic, forward-thinking.
Strong communication, problem-solving, and organisational skills.
Self-motivated with the ability to handle emotional and distressing situations.
