Job Overview:
We are seeking an experienced and highly organized individual to serve as the Personal Assistant to the Presiding Bishop. This position is pivotal in providing administrative support to our esteemed leader, facilitating smooth operations, and contributing to the overall effectiveness of our organization. The successful candidate will be detail-oriented, discreet, and capable of managing a variety of tasks in a dynamic and fast-paced environment.
Responsibilities:
1. Manage the Presiding Bishop's schedule, appointments, and travel arrangements.
2. Handle correspondence, emails, and phone calls, ensuring prompt and appropriate responses.
3. Serve as a point of contact between the Presiding Bishop and internal/external stakeholders.
4. Draft, edit, and proofread official communications, speeches, and correspondence.
5. Organize and coordinate events, conferences, and meetings attended or hosted by the Presiding Bishop.
6. Ensure logistical details are meticulously arranged, including venue bookings, travel arrangements, and catering.
7. Maintain confidentiality and discretion in handling sensitive information.
8. Create and manage filing systems, databases, and archives related to the Presiding Bishop's office.
9. Provide briefing materials and summaries for meetings and events.
10. Prioritize tasks and deadlines to ensure the Presiding Bishop's time is utilized efficiently.
11. Anticipate needs and proactively address issues to enhance productivity.
12. Collaborate with other administrative staff and department heads to facilitate effective communication and coordination.
13. Act as a bridge between the Presiding Bishop and various departments within the organization.
14. Ensure the Presiding Bishop is briefed on and adheres to protocol and etiquette guidelines during official engagements.
15. Facilitate a positive and professional image for the Presiding Bishop and the organization.
16. Assist with technology-related tasks, including managing electronic devices, coordinating virtual meetings, and troubleshooting technical issues.
17. Provide general support to the Presiding Bishop in whatever capacity is necessary for the smooth functioning of their office.
18. Handle personal tasks and requests with a high level of professionalism and discretion.
Qualifications and Skills:
1. Proven experience as an executive assistant or personal assistant.
2. Excellent organizational and time-management skills.
3. Strong written and verbal communication abilities.
4. Proficiency in office software and communication tools.
5. Discretion and the ability to handle sensitive information with confidentiality.
