Sonali Gardens Legal Advice Service (SGLAS) and St Hilda’s East Legal Clinic (SHE Clinic) offer general legal guidance in areas of housing, employment, consumer/contract and welfare benefits (the latter being SGLAS specific). Both clinics run as a drop-in service, with clients attending in person at Sonali Gardens and Club Row, respectively. The Legal Clinic Receptionist will facilitate these sessions by managing client enquiries, briefing the legal team in advance through collating and uploading documents, acting as receptionist during the clinic and recording/monitoring the process on behalf of SHE and the partner City Law. Advocating and translating for the client is likely to be a key part of the role.
Task Responsibilities
* Act as the first point of contact as receptionist; managing enquiries, triaging clients, setting up client files, uploading details and ensuring the clinic runs smoothly and to schedule.
* Manage enquiries including making phone calls, responding to emails and scanning documents.
* Manage clients within the waiting area, ensuring that all parties are kept informed of any changes to the schedule.
* Where applicable, signpost clients unable to be seen by the clinic to other services, including St Hilda’s East in-house welfare advice service.
* Set up advice rooms to ensure a comfortable and secure working environment for clients and volunteers.
* Coordinate volunteers on-site. Help them set up and ensure that their appointments work to schedule.
* Liaise with clients to provide case updates or request documents, acting as a representative on behalf of the volunteer solicitors.
* Provide translation (Bengali) for clients where appropriate.
* Clear the advice rooms at the end of sessions and for SGLAS also lock up the building.
* Manage client records: ensure that data is handled, distributed and eventually securely destroyed, in-line with SHE policies.
* Liaise with legal teams, facilitating communication regarding clinic operations and client enquiries.

Essential Skills and Abilities
* Excellent interpersonal skills, ability to listen to people.
* Strong written and verbal communication skills, whether by telephone or in person.
* Good IT skills with attention to detail for data inputting and case management recording and use of Microsoft Office.
* Ability to prioritise tasks in an organised manner.
* Ability to manage own time and work under pressure.

* Understanding of the advice needs of the local community.
* An understanding of the importance of confidentiality and data protection.
* Bengali speaking to support with translation.

* Understanding of relevant law and rights in relation to Employment, Housing, Benefits and consumer issues.
