Main duties of the job
Our Medical Receptionists/Patient Care-Coordinators are the first point of contact for patients and as such are vital in enabling us to make our patients feel welcome at the practice and in dealing with a wide variety of queries. The team also carries out a number of key administrative tasks which support the efficient running of the practice and enable the clinical team to provide the best possible service to our patients.

Job responsibilities
The general purpose of the Patient Care Coordinator post, includes, but is not limited to:
1. Being a part of the practice team providing patient-centred reception and administrative services for our patients, their families and our community by processing personal and telephone requests for appointments, telephone consultations and ensuring callers are directed to the appropriate healthcare professional
2. Registering new patients, temporary residents and any requiring immediate and necessary treatment, carefully checking all details for accuracy and enter on computer registration link
3. Working with the Practice Manager and Reception team to develop this post within the team with a view to further enhancing our patient experience; the practice offer/provision; and updating, streamlining and developing current processes and practices. We are a very supportive team who work together to ensure that our patients receive the best possible care and support.
4. Taking messages and passing on information Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
5. Opening up/locking up of practice premises and maintaining security in accordance with practice protocols
6. Processing and distributing incoming and outgoing mail/ Filing and retrieving paperwork
7. Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
8. Providing clerical assistance to practice staff as required, including word/data processing, filing, photocopying, and scanning
9. Keeping the reception area, notice boards, leaflet etc. tidy and presentable
10. Cover sickness/annual leave and work reasonable overtime when required.
11. Perform any other relevant and reasonable duties that may be requested by the practice manager or partners.
12. Undertake statutory and mandatory training as required.
13. Maintain confidentiality of information, acting within the terms of the Data Protection Act and Caldicott guidance on patient confidentiality at all times. Maintain awareness of the Freedom of Information Act.
14. The post-holder will manage their own and others health & safety and infection control as defined in the Practices Health & Safety Policy, the Practice Health & Safety Manual, and the Practices Infection Control Policy and published procedures.
15. Comply with Practice health & safety policies by following agreed safe working procedures, actively report health & safety hazards and infection hazards immediately
