Hays Accountancy and Finance are working with a highly confidential public sector service based in Nottingham who are looking to recruit an experienced accounts assistant to join their team on a part-time basis.
Your new role
You will be working on a temporary - permanent basis 21 hours per week within a friendly and supportive finance team. You will provide confidential financial and administrative support to the head of finance and corporate services.
Core responsibilities include:
* Assist with daily administration of devolved budgets, financial estimates, and general financial matters, ensuring accurate transaction recording in compliance with financial regulations.
* Prepare management information, monthly reports, and statistics as requested.
* Conduct research, data extraction, manipulation, and analysis to aid in the creation of comprehensive management reports and audits.
* Place orders for goods/services via the finance system, ensuring timely delivery.
* Verify delivery notes, receive goods, code relevant invoices, and input them into the finance system for payment.
* Raise invoices by verifying and calculating payments, then forward them to appropriate teams, partners, and external agencies.
* Maintain on-site cash services accurately, make cash payments, issue receipts, ensure prompt banking, and regularly balance cash in compliance with cash handling procedures.
* Reconcile bank accounts, credit cards, and cash accounts, monitor bank accounts, and process urgent payments as needed.
* Analyse and reconcile credit card expenditures and process appropriate recharges in the finance system.
* Process staff overtime, expenses, and mileage claims, ensuring they are correctly completed, properly authorised, and coded according to regulations and monthly deadlines.
* Provide advice and support in resolving financial queries related to overtime, enhanced pay, unsocial hours, travel, and expenses in line with organisational policy and legislative compliance.
* Offer confidential administrative support, including word processing, information preparation, and operation of office systems to meet strict deadlines.
* Manage telephone calls and visitors professionally, take messages for staff, handle routine enquiries, and provide high-quality customer service.
* Ensure the security of all confidential and computer-produced documents in accordance with policy and the Data Protection Act.
* Perform other duties as required for the safe and effective performance of the job.

* Due to the nature of the security checks, you must have 5 years continuous residency in the UK.
