Your Role
We are looking for a permanent full time Business Support Assistant to join our team to provide reception and administrative support across our Offerton Family Hub due to open later this year.
Family Hubs bring together a range of services to support children, young people and families. Our Business Support Assistants play a vital role in delivering this support by acting as the first point of contact for families who visit or contact our Hubs; and by carrying out a range of administrative tasks to support frontline colleagues in the work they do.
Key activities include:
1. Dealing with customer or colleague enquires face to face in reception, via telephone and by email - signposting to relevant professionals where appropriate.
2. Scheduling and organising both virtual and physical meetings, training courses and other events.
3. General administration including ordering and dealing with invoices, managing room bookings, monitoring email inboxes, building related administration, etc.
4. Supporting the delivery of both online sessions (using Microsoft Teams and Zoom) and also physical meetings, e.g. co-ordinating attendance, preparing resources, taking notes, managing document distribution, following-up actions, completing post session tasks, etc.
5. Receiving and processing documentation and data, including sensitive and confidential information; and keeping information safe and records up to date.
About You
You will have a commitment to providing a high standard of customer service with previous experience of dealing with customers, strong organisational and interpersonal skills, with the ability to prioritise your own workload and work to tight deadlines. You should be computer literate and be confident in working with standard office IT applications including Word, Excel, and Outlook. You will be expected to learn how to navigate in-house ICT systems to work with data and information; and use other applications to support services delivered virtually. You will work as part of the Stockport Family Business Support Hub and will therefore have the ability to build effective working relationships. Must be able to travel to all of the Family Hub sites at short notice.
