Job Role: Procurement Administrator
Location: Luton, 3 days in the office
Hours: 35 hours per week, Monday to Friday

Main Responsibilities
* Provide a high standard level of service regarding any external supplier queries and internal property manager queries, providing appropriate responses and support.
* Act as the main point of contact for all Procurement and Supply Chain inboxes.
* Act as the first point of engagement for the New Supplier Request (NSR) process, triaging all enquiries to the appropriate teams and responding to queries in a timely manner.
* Monitor and assist with other Procurement mailboxes when needed.
* Maintain the incoming mailbox to ensure all requests are responded to and track subsequent actions.
* Liaise with contractors/suppliers over the phone or email as part of the PQQ/onboarding process.
* Set up contractors/suppliers onto P2P and any other internal systems.
* Amend contractor/supplier records on all internal systems.
* Extract key data spend reports for Category Buyers from various systems, including PowerBi.
* Source existing contractors and non-approved contractors for Ops from the SafeContractor portal.
* Liaise with SafeContractor regarding any onboarding/accreditation queries.
* Create and send response letters on behalf of the Procurement Department.
* Task manage escalated requests using appropriate communication methods.
* Take meeting minutes when required.
* Attend weekly team meetings.
Skills and Experience
* Demonstrable experience of delivering an exceptional service to internal stakeholders and external suppliers.
* Confident, articulate communicator – both orally and in writing; able to build relationships with all types of internal customers, key stakeholders, and suppliers with a resolution-focused mentality.
* Able to work with autonomy and as part of a wider team.
* Efficient in maintaining administration and record keeping electronically.
* Demonstrable ability to deal with problems and challenges effectively.
* Ability to work under pressure, meet deadlines, and manage time effectively.
* Excellent IT skills, social media awareness, and up to date with new technology.
