Roles & Responsibilities:
1. Day to day organising, managing and administering of company records, data and files and maintaining company information.
2. Gather and compile weekly timesheets, organise and input to master timesheet for approval.
3. Gather and compile monthly timesheets and assist with necessary invoicing.
4. Perform administration tasks, liaise and collaborate with support functions:
* Accounts
* Payroll
* Marketing
* HR
* Commercial
1. Control / coordinate head office, liaising with the landlord, neighbours and third parties.
2. Maintain office supplies and ensure stock is available.
3. Lead the buying requirements for head office and operations.
4. Budgetary control of several overheads including travel, accommodation and office costs.
5. Maintain a positive culture within our business and people, promoting professionalism and a can-do environment.
6. Proactive and reactive to our people, clients and third parties, assisting where necessary.
7. Acting as a PA to registered Directors, including:
* Arranging travel and accommodation
* Scheduling meetings
* Attending meetings and minute taking
8. Developing and maintaining company systems, processes and procedures associated with the administrative and HR functions.
9. Develop relations with the supply chain to create efficient, value for money service.
10. Collate information from Operations and Directors to form weekly / monthly reporting.
11. Process expense and travel claims ensuring processes and procedures are followed.
12. Control and maintain office phone and IT systems, liaising with third parties.
Person Specification:
1. Competent, reliable and trustworthy individual who can work in accordance with GDPR and work closely with the directors to hold vital information of the business and our people.
2. Good IT skills including MS Office products.
3. Excellent communication skills.
4. Use own initiative to ensure our operations are efficient and support as necessary.
