Explore our impact since 1987 Your contribution to the team As a Law and Policy Assistant, you will support ARTICLE 19’s Law and Policy Team to effectively implement law and policy, and international advocacy related activities in line with the Power of Our Voices, ARTICLE 19’s global strategy. You will provide administrative and logistical support, facilitate smooth functioning of the team’s work and support substantive research in our projects. You will also play an important role in financial and project administration of the Law and Policy projects: you will support the development of financial reports in line with donor requirements and ensure that all relevant documentation and files are maintained, organised and disseminated as required. This is an entry level role where you will have a huge opportunity to make a difference by supporting advocacy undertaken by the Law and Policy staff and coordinating our cross-organisational and external actions in collaboration with the Communications & Campaigns team, management of events and meetings. What you can expect in a typical day Supporting management and implementation of LP team projects (45%) Providing administrative and logistical support to the Law and Policy Team; Being responsible for maintenance of internal project management and knowledge and learning management tools of the Law and Policy Team; Taking part in the internal processes relevant for projects and programme management; Maintaining and strengthening project files and reporting, financial documents and budget reports, processing invoices, while keeping to agreed guidelines, reporting schedules and deadlines; Assisting with production of timely and compliant internal reports and donors’ reports, as well as monitoring and evaluation; Monitoring project budgets and maintaining up-to-date records of project expenditure; maintaining financial records of project expenditure and ensuring all expenditure is logged with the Finance Team; Drafting minutes and ensuring coordination and information exchange between the Law and Policy Team members and Global Law and Policy Forum; Contributing to maintenance and development of the Global Law Team and the Law and Policy Team records and library, and to the development of relevant information systems to improve institutional memory and learning; Coordinating with Communications and Campaigns team on project scheduling for quality control and editorial processes; Assisting the external partners of the Law and Policy Team in related projects as necessary. Supporting legal, policy and advocacy work (35%) Contributing to preparation and assisting with research of materials, such as legal analysis, policies or statements, developed by the Law and Policy Team; Supporting the production of reports, blogs, articles and other outputs for the Law and Policy Team related publications and website, including proof-reading, editing, liaising with translators and designers, in collaboration with the Communications & Campaigns team. Events organisation in London, Brussels or elsewhere (15%) Ensuring a smooth, timely and effective delivery of all Law and Policy Team events (including trainings, workshops, advocacy missions and conferences); Organising event logistics, including flights, accommodation, visa applications, expenses, catering and meeting materials; Attending events and providing logistical support to the Law and Policy Team and event participants; Keeping records of financial and programmatic materials related to events; Liaising with relevant ARTICLE 19 staff globally on tasks related to events. Other (5%) Undertaking other duties commensurate with the role as may reasonably be assigned by the Senior Director for Law and Policy. What you will bring to the role Education and experience Educated to a degree level or equivalent; E xperience in organising events, contributing to narrative and financial reports, compiling budgets and tracking and maintaining records of project expenditures; Skills and abilities Excellent administrative skills with a high level of accuracy and attention to detail; Excellent written and verbal communication skills in English; Confidence in using project management and financial systems for ensuring budgetary oversight; High level of organisation and an ability to read and process financial documents; Ability to conduct research to a specific brief, checking facts using a variety of sources, and with a keen eye for detail, a bility to proofread documents, including legal documents, in English to a high standard; Ability to multi-task, prioritise, and complete activities under time pressure; Good interpersonal skills and experience working and communicating with colleagues and partners in different locations; Self-motivation and the ability to work with minimal supervision; Ability to work in a multi-cultural environment and commitment to equal opportunities and non-discrimination.
