As an Administrator, you’ll play a vital role in supporting the essential services that make a difference to the lives of patients, staff, and visitors. Being the go-to administrator for our teams, you'll be super organized supporting all things admin related! You'll always be on hand to support our wider teams with Health and Care catering related administration requests.
With a cheerful and helpful approach, you'll input orders, produce reports, and maintain the systems weekly. It’s important to have a positive, approachable attitude and strong communication skills with the ability to demonstrate great teamwork. You'll have a keen eye for detail and good IT skills. What you'll do:
* Provide accurate and timely administrative assistance, including managing personnel files, staff noticeboards, emails, phone queries, and coordinating managers' diaries.
* Prepare new starter documentation, draft offer letters, request references, process DBS applications, and ensure quarterly renewals for existing staff.
* Monitor sickness reports, record return-to-work forms, log disciplinary actions, and manage referrals to Employee Health and Well-Being (EHW) services.
* Maintain compliance by updating right-to-work documents, logging accident reports, updating risk assessments, and issuing formal correspondence.
* Analyse data for accurate billing using Sodexo systems (Saffron, HIVE), reconcile financial reports, and submit ad hoc work to Finance.
* Run management reports, update departmental vacancies, and prepare defence packs for insurance purposes using SAP, Kronos, and Carps systems.
* Manage staff recognition programs, track nominations, and collaborate with teams to enhance efficiency while adhering to policies.
What you bring:
* Exceptional organizational skills with the ability to prioritize and meet deadlines.
* Strong communication and interpersonal skills to build professional relationships.
* A proactive approach to problem-solving and escalating issues when necessary.
* Experience in administrative roles, ideally within a healthcare or catering environment.
* Proficiency in systems like SAP, Kronos, and other reporting tools.
* Ability to manage multiple tasks efficiently in a fast-paced environment.
