What you’ll do
1. Manage schedules and meetings: Prepare agendas, arrange internal and external meetings, and keep communication smooth.
2. Coordinate travel arrangements: Book travel and accommodations, ensuring itineraries are clear and efficient.
3. Handle expenses and reporting: Process expense claims and ensure all expenditures are logged and reconciled accurately.
4. Plan events and trips: Organize team outings, off-site meetings, and special events with precision and creativity.
5. Collaborate internationally: Work with Assistants in other countries to align schedules, optimize communication, and build a strong network.
6. Optimize processes: Continuously improve operating practices for agenda planning, governance, reporting, and expenses.
What you’ll bring
1. Executive-level experience: Proven secretarial or related experience supporting senior leaders.
2. Organizational wizardry: You thrive in managing competing priorities and ensure nothing lingers on your to-do list.
3. Exceptional communication skills: Clear, professional, and effective, both written and verbal.
4. International savvy: Comfortable in a multicultural setting, with the ability to engage stakeholders at all levels.
5. Tech proficiency: Strong skills in MS Office (Outlook, Excel, Word, PowerPoint) are essential.
6. Language abilities: Excellent English is required; additional European languages are a plus.
7. Forward-thinking mindset: You anticipate needs, link activities, and understand dependencies with ease.
8. Positive energy: Your proactive, can-do attitude and problem-solving skills create order in dynamic environments.
