Job Description
To support the Chief Technology Officer, Chief Customer Officer and Chief People Officer with a variety of tasks in a proactive and efficient manner, covering other Group Executive members as required.
Your day-to-day:
* Proactively manage three Group Executive member diaries, deciding which meetings and appointments are of most strategic importance and best use of time
* Schedule meetings (internal & external), take notes at critical meetings and track actions through to completion
* Build meeting agendas, prepare papers and support with creation of documents where required
* Participate in leadership team meetings and projects with an eye to improving processes and the overall performance of the team
* Book and arrange travel, transport, accommodation, venue and room bookings
* Assist with the organisation of company events and conferences
* Responsible for general team administration such as the setup of new starters and managing leavers, coordinating equipment and system set up
* Raise Purchase Orders ensuring payments are made on time, reviewing monthly expenditure for the relevant cost centres and reconciliation of expenses
* Take ownership to ensure that the necessary approvals are completed within a calendar month, e.g. timesheets, expenses, holiday requests etc on behalf of the Group Executive
* Collaborate closely with other PAs, encouraging best practise and working together to provide an effective and consistent service to the Group Executive
*** Please Note - This is a Part-Time role, working Wed, Thurs & Fri, 9am - 3pm ***
Qualifications
You should apply if:
* You have significant experience in a Personal Assistant / Executive Assistant position supporting multiple Executive level colleagues
* Discretion, reliability and trustworthiness: you will often be party to confidential information
* Excellent organisational and time management skills, with the ability to coordinate others
* The ability to be proactive, think ahead and take the initiative whilst resolving issues quickly under pressure
* Accuracy and attention to detail
* Excellent written and verbal communication skills
* Strong relationship and stakeholder management skills
* Flexibility and adaptability, with a willingness to take on a variety of tasks and sometimes last-minute requests
* Excellent multitasker, prioritising appropriately
* A desire to continuously improve processes in order to provide the most efficient service possible
