Job overview
Applications are invited from highly motivated individuals to join our team as an experienced administrator. The ideal candidate needs to be computer literate (training of the hospital systems will be given), confident in dealing with patients and the general public, and flexible to meet the demands of a busy Assessment Unit.
Clerical skills are essential and you will be required to provide a professional administration service to the unit including booking in patients, maintaining patient records, filing, arranging for clinic appointments, answering telephone enquiries, data entry onto the hospital computer system, and other administrative tasks. Confidentiality must be maintained at all times.
Main duties of the job
* Maintaining clinic management and slot utilisation to ensure that a high level of customer service for all users of POA, both internal and external is maintained.
* Cover any sickness and annual leave to ensure continuity of service within POA booking and Reception provision completing any admin tasks aligned to these roles.
* Answer any incoming calls in a professional and timely manner in line with Trust and Departmental Policies and Procedures.
* To monitor and co-ordinate the work and performance of clerical officers / reception staff within the team in the absence of the POA manager.
* To assist in the training and development of POA clerical staff and contribute to the training of other relevant staff groups.
* To positively contribute to and support the team, assisting with the implementation of new systems and future developments.
Person specification
* Educated to GCSE level or equivalent to include English Language and Maths
* NVQ3 or equivalent experience in Customer Care
* Keyboard skills, computer literate
* Health Service experience within a clerical field
* Proficiency in Microsoft Office 365 word processing skills
* Possess excellent communication skills-written/verbal/listening
* Ability to work effectively with all levels of staff
* Ability to work unsupervised, prioritise own work load and that of the team and be confident in decision making
* Self-motivated, organised, enthusiastic, innovative and flexible
* Ability to form and develop effective working relationships
* Ability to comply with Trust policies and procedures
* Ability to travel as required
* Previous experience of Lorenzo or equivalent PAS
* Experience of Customer Care. Dealing with patients/relatives
* Able to lead by example. Be able to motivate and encourage others
* Work to tight deadlines in a professional manner. Time Management Skills
* Willingness to self-develop
