Engineering Administrator | Southampton | Competitive salary plus excellent benefits | 6 months fixed term contract Monday-Friday - office hours Job Purpose : The Engineering Supervisor is a key member of the Engineering who is instrumental in ensuring compliance with all current legislation and Spire policies regarding the Estate management. The core responsibilities of the Engineering Supervisor. Compliance and efficiency: To maintain grounds, building fabric, building services and all hospital equipment in a cost-effective manner, whilst ensuring minimal asset downtime thus maximising the utilisation of the facility. All aspects must ensure compliance to related regulations and Spire policy. Engagement: To effectively lead the Engineering team to build engaged individuals who provide efficient and consistent ways of working in line with the Spire Healthcare values and behaviours. Performance: To manage the day-to-day performance of the team to deliver the Key Performance Indicators. Duties and responsibilities - To Ensure that all documentation required for the Engineering audit is up to date and filled in the correct location. - To ensure that all HS21 contractor documentation is up to date and signed off by the Facilities Manager and filled correctly - including upload to the CMMS system. - Support the facilities Manager in ensuring all Facilities policies are up to date with the relevant information in. - Ensure all relevant information is uploaded onto Pirana. - Ensure all facilities trackers are kept up to date. - Ensuring all water test results are inputted into the live tracker, ensuring compliance for the water safety group. - Amat management, ensure that all relevant information is uploaded onto AMAT. - Meeting Minutes and actions for all Facilities departments. - Supporting the Equipment coordinator on when not on site to ensure the upkeep on the medical equipment. - To record and schedule all new equipment and services for planned maintenance on the network CMMS. Ensure continual update of hospital asset registers to keep all plant and equipment visible to the site and the network. - To ensure all remedial works identified in infrastructure, plant and equipment inspection reports, are tracked on the facilities tracker system and quotation are received. - To support the Facilities manager in accurate record keeping and easy retrieval filing of documentation for all services and equipment for audit purposes. - To support the Facilities manager with managing the ordering of spares, services, and consumables for the Engineering & Facilities department. - All other general Administrator tasks. - To lead on waste at the hospital, ensure compliance and waste segregation. - Deliver waste training to the hospital staff - To be the main point of contact for waste - Deliver a monthly waste report with action and targets for improvement. - To establish, monitor and develop local policies and procedures in conjunction with current Spire Policy, HTM and Code of Practices. - To work in accordance with Health & Safety legislation and Spire H&S policies. - To feedback contractor performance issues of any centrally negotiated contracts. - The post holder may be required to hold other roles as required by the business to ensure compliance to regulation and Spire policy. - The post holder will be required to provide training to the hospital teams particular in areas of expertise / responsibility. Who we're looking for: - Previous Experience in Administration - Experience in building services management with a track record of success - Knowledge of building services - Able to prioritise demands against resources - Able to develop objective in line with corporate/local business plans - Able to negotiate service levels and also local contracts with external suppliers - Able to assure hospital compliance with changing legislation - Excellent interpersonal and communication skills, including listening and negotiation skills. - Ability to build relationships with all customer groups - Highly literate and numerate - Commercially astute with good planning skills - Ability to influence diverse sets of audiences - IT literate and a competent user of the MS Office suite of products - Results driven, high levels of determination and initiative - Proactive and able to self-motivate - Due to the unpredictability and nature of the function, the post holder will on occasion, be required to work outside of normal working hours.
