The Andover Community Mental Health Team is looking to recruit a full-time Medical Secretary to join our friendly team. Based in the centre of Andover, there is free on-site parking and flexible working will be considered.
Applications are invited for the above position working 37.5 hours a week in a supportive and busy community mental health team. The post holder must have experience of working within an administrative environment and will be working closely with our Consultants. The role involves booking appointments, managing the Consultant's diary, audio typing, drafting and typing up minutes of meetings, and taking telephone calls on behalf of their allocated Consultant. An excellent telephone manner and communication skills, including good organisational skills, are essential. You will need to have a warm and professional manner as you may be the first point of contact for people who access our service. The successful candidate will be working as part of a team, and therefore being a team player is essential. You will need to have good IT skills and the ability to work under pressure, work independently, and as part of the team. You will need to be flexible and responsive to meet the needs of the service.

Main duties of the job
To administer new referrals to the team via ERS, liaising with individuals or their carers and sending out appointment letters.
Coordinate and organise actions arising from correspondence and ensure prompt and efficient response, as required, by the medical staff. Coordination with other professionals, outside agencies, legal staff, Trust staff, etc., and maintaining records.
Manage and prioritise own workload, arrange appointments, take, transcribe and type letters, arrange follow-up actions as instructed, maintaining Consultant diaries to ensure a smooth and effective service, arranging for clinic lists to be available to reception staff before clinic commences and retrieving clinic lists at the end of the clinic, in line with the Trust key target timescales.
To provide comprehensive, timely, and accurate secretarial support to the Consultant Psychiatrists and Junior Doctors Medical Team, ensuring confidentiality of patient records is maintained according to Data Protection and Caldicott Guardianship guidelines and sensitively when dealing with contentious and complex information, liaising with other departments.

* English GCSE or equivalent
* NVQ Level 3 in Business Administration
* Experience of using Microsoft Office to a competent standard
